Job Summary
The Document Scanning Specialist supports healthcare revenue cycle operations by accurately scanning, indexing, and maintaining patient financial and clinical documents. This role ensures documents are correctly associated with the appropriate patient, encounter, account, and date of service while maintaining data integrity, confidentiality, and HIPAA compliance.
Key Responsibilities- Scan and electronically index financial and clinical documents into patient health and billing systems.
- Review incoming documents received by mail, fax, or email and prepare them for scanning.
- Verify patient identifiers, medical record numbers, encounters/accounts, and dates of service before indexing.
- Select appropriate document types and descriptions to ensure accurate document retrieval.
- Perform quality checks for readability, completeness, and accurate indexing.
- Enter required information into electronic systems while maintaining data accuracy.
- Retrieve and provide documents to billing, coding, audit, and other internal teams as requested.
- Maintain scanning equipment and troubleshoot routine scanning/software issues.
- Safeguard protected health information and follow HIPAA, confidentiality, and corporate compliance requirements.
- Meet established productivity and accuracy standards in a fast-paced revenue cycle environment.
- Assist with workflow improvements, cross-training, and departmental coverage as needed.
Required Qualifications- High school diploma or equivalent.
- 3+ years of experience working with patient health records, medical records, billing records, or financial records in a healthcare environment.
- Knowledge of medical terminology and healthcare billing/revenue cycle processes.
- Familiarity with insurance billing, Medicare/Medicaid, commercial insurance, payment posting, adjustments, and denials.
- Experience with document scanning, indexing, electronic records, or document management systems.
- Basic knowledge of Epic and/or OnBase preferred.
- Strong attention to detail, organization, analytical skills, and data-entry accuracy.
- Strong computer skills, including Microsoft Word, Excel, email, and internet applications.
- Ability to protect confidential patient information and follow HIPAA requirements.
- Ability to prioritize work, meet productivity standards, and work independently in a team-oriented environment.
Preferred- Associate degree with relevant healthcare records or financial records experience.
- Experience in hospital billing, professional billing, medical records, revenue cycle, or document control.
