A Beverly Hills-based boutique property management firm is seeking a Director of Operations to lead their in-office and property teams. The goal is to create a strong foundation for growth by developing systems and processes. Started in 2022 as a subscription living firm has grown to a full-service property management company. The firm specializes in smaller luxury apartment communities and developments ranging from 4 units to 72 units with some commercial.
This position requires a comprehensive knowledge of property management and a strong ability to build and organize teams in the successful management of the portfolio. Practical experience in budgeting and financial reporting is necessary. A proven track record of operating a portfolio of apartment home communities with commercial, and meeting financial performance standards is required.
This is a high-growth opportunity for someone who has at least 5 years of portfolio management experience as an Operations Manager/Director, Portfolio/ Property Supervisor with at least 750 apartment homes.
Requirements
• Minimum 5 years of property management experience as an Operations Manager/Director, Property Supervisor with at least Property Manager on at least 500 apartment homes.
• Experience overseeing Multi-site and/or Property managers.
• Bachelors degree preferred and CA Real Estate license preferred.

Essential Duties
• Manage the day-to-day operations of the Property Management Office and off-site Property Managers.
• Direct, manage and train staff including leasing, resident services and maintenance.
• Work directly with CEO and COO to implement strategies’ for the growth and development of the company.
• Primary representative of the company to owners, tenants, vendors, the general public
• Assist residents and the Managers with issues that require higher-level assistance
• Be the company’s expert in California property management and associated laws.
• Primary steward of the company’s financial interests, including timely delivery of financial
statements to the company owners.
• Design new systems and processes to maximize efficiency, reduce error, and maximize client satisfaction
• Develop a process for onboarding new property management clients new properties
Staffing
• Direct, manage, and train staff, including Property Managers, leasing, resident services and maintenance.
• Develop team through the creation or reorganization of current structure and/or position descriptions.
• Assess current employees and provide opportunity and direction for growth.
• Determine if the employee is in the right position and make changes if needed.
• Coordinate monthly or quarterly meetings for team building, motivation, and compliance.
• Supervise staff performance and communicate frequently.
• Develop a process for onboarding new property management clients new properties
Operations and reporting:
• Create and plan weekly staff meetings to include the status of current vacant apartments, apartments on notice, and residents in eviction.
• Monitor rent collections and delinquencies
• Final approval for applications for new tenants
• Plan and approve rent increases per company policy
• Issue/ approve resident letters as necessary
• Initiate evictions/appear in court
• Supervise completion of move-in/move-out paperwork
• Approve invoices for all expenses at the properties
• Review monthly statements to owners for errors or omissions
• Participate in weekly owner calls
• Develop a process for onboarding new property management clients new properties
• Expand and improve our vendor pool
• Company planning cadence meetings with individual employees are followed
strategic planning is being completed each year, quarter, month week.
Compliance
• Keep current on all state and local tenant/landlord laws and regulations and
implement procedural changes (leases, owner contracts, tenant notices, disclosures)
• Ensure compliance with Department of Real Estate regulations in regard to licensing,
trust accounting, and fair housing regulations
• Audit current tenant application process/rental criteria and make recommendations to
ownership and implement changes to the process
