Design & Project CoordinatorOak & Arrow HomesEdina, MN | Full-Time | HybridOak & Arrow Homes is looking for a highly organized and detail-oriented Design & Project Coordinator to support our residential remodeling projects from concept through construction.We primarily focus on whole-home remodeling, with custom homes as an area we hope to grow into over time. This role will work closely with our owner, designers, and project management team to coordinate projects, support the design process, keep details organized, and help create a smooth experience for our clients.This is a great opportunity for someone with experience in interior design, design coordination, project coordination, or construction administration who wants to take on a broader role and grow into light design and project management responsibilities.About the RoleThis is a hands-on position within a small, stable team where your work will have a direct impact on both our projects and client experience.The right person will enjoy bringing structure to a busy environment, keeping details organized, and helping teammates stay ahead of deadlines and responsibilities.We are willing to train the right person on the construction-specific aspects of the role. What matters most is that you bring strong organizational skills, sound judgment, reliability, and a willingness to learn.What You'll DoDesign & Project CoordinationSupport the design process from client kickoff through construction handoff.Assist with design-related tasks, selections, specifications, and project documentation.Provide light design and design assistant support as needed.Schedule client and team meetings and coordinate calendars.Prepare and send client communications, kickoff information, and follow-ups.Keep project schedules, selections, specifications, and documentation organized.Coordinate information between clients, designers, project management, vendors, and subcontractors.Track outstanding decisions, information, and action items to keep projects moving.Project & Administrative SupportSupport the Project Manager with project coordination and documentation.Assist with estimating, costing, and organizing project information.Help coordinate the transition from design into construction.Coordinate invoicing and accounts receivable activities.Support accounts payable and vendor-related administration.Maintain accurate project and financial records.Provide additional administrative and operational support as needed.Depending on experience, assist with smaller projects and take on additional project coordination responsibilities.Team & Process SupportHelp maintain organized systems and processes across projects.Identify missing information and follow up to keep work moving.Communicate professionally with clients, vendors, subcontractors, and team members.Step in to solve problems and support the team as priorities change.What We're Looking For3+ years of experience in interior design, design coordination, project coordination, construction administration, office management, or a related field.Experience in residential remodeling, construction, or interior design is strongly preferred.Strong organizational skills and attention to detail.Excellent written and verbal communication.Ability to manage multiple priorities and follow through on commitments.Comfortable learning new software and systems.Good judgment and the ability to work independently.A proactive approach to identifying and solving problems.Professional and thoughtful communication with clients, vendors, and team members.An interest in both the creative and operational sides of residential remodeling.Software We UseExperience with the following systems is helpful, but not required.
