Responsibilities:
- Develops, coordinates, and maintains daily and long-range staffing schedules for nursing and support units across multiple hospital departments.
- Continuously monitors patient volume and acuity to adjust staffing levels in real-time, ensuring safe patient-to-staff ratios.
- Serves as the primary liaison for external staffing agencies; manages travel nurse contracts, orientations, and shift fulfillment.
- Oversees the "on-call" roster and manages the deployment of float pool employees to cover vacancies, illness, or surges in patient volume.
- Maintains personnel files for all departmental staff, ensuring current licensure, certifications (BLS, ACLS), and competency documentation are on file.
- Prepares Employee Personnel Action Forms (EPAFs) for new hires, transfers, and terminations; assists with the onboarding and orientation of clinical and non-clinical staff.
- Tracks and assists with the distribution and filing of annual performance reviews and clinical competency assessments.
- Interprets hospital policies, union contracts (if applicable), and labor laws regarding overtime, shift differentials, and mandatory rest periods.
- Independently researches and prepares complex staffing reports, including overtime analysis, vacancy rates, and budget variance for hospital leadership.
- Maintains organized chronological and alphabetical files of staffing patterns, attendance records, and historical scheduling data.
- Acts as the central point of contact for staff regarding schedule changes, leave requests, and departmental announcements.
- Serves as the recording secretary for staffing and committee meetings; prepares and distributes official minutes and action items.
- Orders and maintains necessary supplies for the staffing office and coordinates with unit managers to ensure logistical needs are met.
- Independently addresses routine scheduling conflicts and grievances, escalating complex personnel issues to the Nurse Manager, House Supervisor, Nursing Director or Chief Nursing Officer as appropriate.
- Proven ability to make high-stakes scheduling decisions with minimal supervision in a fast-paced environment.
- Experience with automated scheduling software (e.g., UKG), EXCEL, TEAMS, Microsoft Products, and advanced reporting tools.
- High level of discretion in managing sensitive personnel information and HIPAA-regulated data.
- Completes all mandatory department, educational and hospital requirements
- Adheres to current Infection Control and Safety Standards
- Regular and prompt attendance
- Ability to work schedule as defined and overtime as required
- Related duties as assigned

Employees must be in a regular position, working 20 hours or more per week (.50 FTE or greater) to qualify for benefits.

- High School Diploma or equivalent. Required
- Comparable combination of education and experience may substitute for the above requirements.
