Description:
Under the direction of the Manager, Data Quality, the Data Retrieval Specialist is responsible for providing technical, administrative, and clerical support for year-round efforts to collect medical records for key quality projects, including HEDIS, Risk Adjustment, special projects, and ad hoc activities.

This role supports departmental activities including collaboration with providers for medical record collection, data management, research, data entry, quality control, report generation and analysis, and adherence to established departmental workflows. The Data Retrieval Specialist exercises independent judgment to ensure appropriate escalation protocols are followed when trends or deficiencies are identified.

What You Will Do:

  • Manage the scheduling, retrieval, tracking, monitoring, and quality assurance of data collection requirements from physicians for audits and internal processes supporting HEDIS, Risk Adjustment, and Quality activities.
  • Navigate various Electronic Medical Record (EMR) systems to extract required data based on specified project needs.
  • Establish and maintain relationships with providers and staff to support ongoing collaboration for data collection efforts.
  • Serve as Team Lead to support all aspects of HEDIS Chart Collection, including planning, preparation, hands-on training, ongoing project support for the HEDIS Task Force, equipment testing, provider outreach, collection of assigned charts, quality assurance, and follow-up chart retrieval efforts.
  • Perform research, data entry, and quality control on key data sources following prescribed guidelines and protocols in support of regulatory reporting requirements, including HEDIS, Risk Adjustment, and Quality activities.
  • Perform a broad range of administrative duties using initiative and judgment when handling confidential and time-sensitive information.
  • Provide backup support for Quality Systems Coordinators, assisting with supplemental data efforts including data collection, data entry, research, quality assurance, and reporting.

  • You maintain a positive attitude and work effectively in a team setting.
  • You are able to occasionally lift or move up to 25 pounds.
  • You are able to travel frequently to provider offices for data retrieval within San Bernardino and Riverside Counties.

What You Will Bring:

  • Three or more years of administrative experience in an office environment, including use of Microsoft Office Suite.
  • One year of experience in healthcare data collection from various Electronic Medical Record systems.
  • High school diploma or GED.
  • Valid California driver s license and valid automobile insurance.
  • Ability to qualify and maintain a driving record that meets company vehicle insurance standards of no more than three points.

Preferred Qualifications:

  • Experience as an EMR technician.
  • Associate degree from an accredited institution.
  • Health Information Management (HIM) certification.
