Job DetailsThe Central Operations Specialist III performs complex payment, operational, and administrative duties in support of banking offices and customers. This senior-level role requires advanced knowledge of business and consumer banking products, the ability to independently complete routine and complex tasks, and sound judgment to identify, research, resolve, or escalate exceptions.
The Specialist III handles higher-risk transactions, performs reconciliations with minimal supervision, serves as an escalation resource for operational issues, provides guidance and mentoring to junior team members, and supports audit, examination, and compliance readiness while ensuring adherence to organizational policies, procedures, and regulatory requirements.
Primary Responsibilities
Legal Processing
- Process levies, subpoenas, summons, garnishments, restraining notices, and other legal orders affecting deposit accounts or customer funds in accordance with applicable laws, court requirements, and internal procedures.
- Research, document, and resolve legal processing exceptions, escalating issues when appropriate.
Wire Operations
- Release outgoing wires in accordance with established procedures, authorization limits, and dual-control requirements.
- Troubleshoot wire-processing issues and serve as a resource for complex exceptions.
- Provide guidance and operational support to junior team members as needed.
Operations & Reconciliations
- Process incoming and outgoing adjustments, including check number corrections, as well as incoming and outgoing collections.
- Prepare and balance Federal Reserve deposit difference reports and related adjustments.
- Perform daily and monthly reconciliations independently, research outstanding items, and resolve or escalate exceptions in a timely manner.
- Manage cash orders, shipments, inventory, and balancing activities.
- Complete callback functions, including debit card and dormant account maintenance.
- Prepare and support IOLTA daily, monthly, quarterly, and annual reporting.
Back-Up Support
- Provide advanced back-up coverage for other Central Operations responsibilities.
- Serve as a resource for complex issues involving electronic image management, wires, legal processing, and reconciliations.
Additional Responsibilities
- Deliver excellent service to internal and external customers.
- Complete required training within assigned deadlines.
- Comply with all organizational policies, procedures, and applicable regulatory requirements.
- Serve as an escalation point for operational questions, transaction exceptions, and processing issues.
- Provide training, guidance, and mentoring to junior team members to promote accuracy, consistency, and cross-functional coverage.
- Support internal audits, external examinations, and compliance reviews by maintaining accurate records, preparing documentation, and responding to information requests.
- Identify operational risks, process gaps, and control issues and escalate concerns to management as appropriate.
Knowledge & Skill Requirements
- Working knowledge of state and federal laws and regulations affecting the financial services industry, including the Bank Secrecy Act (BSA), USA PATRIOT Act, Anti-Money Laundering (AML) requirements, Customer Identification Program (CIP), customer privacy requirements, and Community Reinvestment Act (CRA).
- Advanced operational knowledge of deposit products, payment processing, reconciliations, and legal order processing.
- Strong analytical, problem-solving, and risk-management skills.
- Ability to work independently, prioritize responsibilities, and meet deadlines in a detail-oriented environment.
- Effective communication, leadership, and mentoring skills.
- Ability to support audit, examination, and compliance readiness.
Education & Experience
- High school diploma or equivalent required.
- Five or more years of financial institution operations experience required.
- Advanced experience in reconciliations, ACH, legal processing, wire operations, or accounting functions preferred.
