    Description

    Responsibilities

    • Support the Administrative Manager, other managers, and volunteers with various administrative and database-related tasks.

    • Edit and prepare documents for events, communications, and other organizational needs according to established brand standards.

    • Collaborate with other administrative staff on shared responsibilities, including answering phones, responding to general email inquiries, and providing administrative support as needed.

    • Provide excellent customer service by responding promptly and accurately to incoming emails and phone calls.

    • Answer and route inbound calls during peak times and provide front-desk coverage as needed.

    • Accurately update and maintain information within the organization’s membership database.

    • Process daily electronic fund transfers and other financial transactions.

    • Operate office equipment and coordinate with vendors for repairs and maintenance as needed.

    • Support retail operations, including processing and shipping orders, assisting customers, and participating in annual inventory.

    • Coordinate with staff to maintain accurate committee and leadership information within the membership database and distribute updated lists as needed.

    • Assist with administrative updates when new members join the board or are appointed to leadership positions, including database updates, rosters, business cards, stationery, electronic signatures, and related materials.

    • Complete additional administrative projects and responsibilities as requested.


    Education & Experience

    • Undergraduate degree preferred, but not required.

    • 2+ years of relevant professional experience.


    Technical Skills

    • Strong data entry and data quality assurance skills.

    • Proficiency with Microsoft Office 365 products.

    • Experience handling a multiline phone system.

    • Ability and willingness to cross-train and learn new database systems, skills, and procedures.

    • Strong attention to detail and organizational skills.

    • Excellent interpersonal skills with a positive, flexible attitude.

    • Ability to lift up to 50 lbs.
