Job Summary

Seeking an experienced Executive Assistant to provide high-level administrative and operational support to senior managers within a fast-paced financial environment. This role requires strong organizational skills, discretion, and the ability to manage competing priorities while maintaining professionalism in all communications.

Key Responsibilities
  • Provide professional telephone coverage, triage calls, and handle urgent inquiries with sound judgment
  • Manage complex executive calendars, including scheduling, rescheduling, resolving conflicts, and prioritizing meetings
  • Coordinate large group meetings, including:
    • Scheduling across multiple stakeholders
    • Booking conference rooms and meeting spaces
    • Arranging logistics and materials
    • Sending confirmations and distributing agendas/documents
  • Arrange domestic and international travel, including itineraries and logistics
  • Prepare and submit expense reports
  • Serve as a liaison between executives, clients, and internal/external stakeholders
  • Maintain filing systems, correspondence, and executive documents
  • Interface with internal departments to support executive requests and resource needs
  • Manage incoming mail, prioritize correspondence, and coordinate courier/messenger services
  • Provide backup administrative support during colleague absences (phone coverage, scheduling, office support)
  • Handle general office administration (supplies, document prep, workspace organization)
  • Support onboarding activities for new hires, including desk setup and system access coordination
Qualifications
  • Bachelor's degree required
  • Experience Level: Level 2 (mid-level executive assistant experience)
  • Strong organizational, communication, and time management skills
  • Ability to work independently in a fast-paced environment
  • High level of discretion and professionalism
  • Experience supporting senior leaders in a corporate or financial services environment preferred
