Position SummaryTimberline Construction Group is seeking an organized, dependable, and detail-oriented Construction Administrative Assistant to support residential construction projects in the San Luis Obispo area.This position will provide day-to-day administrative and project support to the construction team, helping coordinate documentation, schedules, communication, reporting, subcontractor information, and project records.The ideal candidate is comfortable working in a fast-paced construction environment, managing multiple priorities, and communicating with project managers, subcontractors, residents, utility companies, and other project partners.Experience with HUD Section 3 or affordable housing programs is strongly preferred but not required.Key ResponsibilitiesProvide administrative support to project managers and field construction teams.Maintain project files, documentation, correspondence, and reports.Assist with scheduling meetings, appointments, project activities, and follow-up items.Prepare meeting notes, project updates, spreadsheets, and general correspondence.Track subcontractor documentation, workforce information, and project records.Assist with procurement documents, project forms, invoices, and other administrative paperwork.Coordinate communication with subcontractors, residents, utility companies, vendors, and community partners.Submit and track 811 utility locate requests and coordinate with utility providers to ensure underground lines are marked before excavation or construction begins.Help maintain documentation required for affordable housing and federally funded construction programs.Support Section 3 documentation and reporting after training.Maintain accurate digital and physical project files; update ARK and SharePoint as needed.Follow up on outstanding items to help keep projects organized and on schedule.Provide general office and project support as needed.Qualifications2+ years of administrative, project coordination, construction office, or similar support experience preferred.Previous construction, residential housing, property management, or project-related experience is a plus.Strong organizational and follow-up skills.Comfortable managing multiple tasks and deadlines.Knowledge of Microsoft Word, Excel, and Bluebeam drafting/markup software preferred but not required.Knowledge of San Luis Obispo (SLO) City and County permitting preferred but not required.Strong written and verbal communication skills.Detail-oriented with the ability to maintain accurate records and documentation.Ability to work independently while supporting multiple team members.Bilingual English/Spanish is a plus.Previous HUD, Section 3, affordable housing, or government-funded project experience is helpful but not required.Employment with Timberline Construction Group is contingent upon passing a pre-employment drug test and a background check, which may include criminal history and employment verification.By submitting your application, you consent to agreeing to partake in a pre-employment drug test and a background check.
