Position Introduction:

Community Assistants and Office Assistants:

The Community Assistant (CA) position is an hourly student role that primarily supports the front desk operations in residence hall lobbies and Traditions apartment clubhouses. Community Assistants serve as a key point of contact for residents and guests, providing excellent customer service and helping maintain a safe, welcoming, and well-organized community space. This position typically includes evening and weekend shifts, with schedules ranging between 10-20 hours per week. Community Assistants report directly to the Residence Life Operations Coordinator.

Office Assistants:

This position helps maintain an organized and welcoming office environment while supporting the Residence Life staff with day-to-day administrative and operational needs. This position's hours are typically Monday-Friday, between 8:00 AM-5:00 PM. Schedule is approximately 20 hours/week. These staff members work in the residence halls or Traditions apartments, reporting directly to the applicable area''s Residence Life Team and the Residence Life Operations Coordinator.

Required Education and Experience:

  • Must be currently enrolled in the Fall 2026 Term as an undergraduate student in good standing at the University of Oklahoma.
  • Hiring contingent upon verification of current student status.

Community Assistant Responsibilities include but are not limited to:

  • Staff the desk and serve as a welcoming presence for residents and visitors
  • Provide customer service by answering questions, assisting with concerns, and referring issues appropriately and professionally
  • Ensure proper record keeping for the occupancy process (check-ins, check-outs, room changes)
  • Respond to and document student lockouts according to community procedures
  • Check in and out community resources
  • Complete and submit room damage reports as needed
  • Answer phone calls and direct inquiries to appropriate staff or departments
  • Maintain accurate logs and records related to desk operations and resource use
  • Issue spare keys/access cards and maintain accurate key audit logs in accordance with key control procedures
  • Monitor the lobby area to ensure a safe and respectful community environment
  • Operate standard desk equipment (phones, printers, computers, etc.)
  • Complete general administrative duties in support of Housing and Residence Life
  • Maintain confidentiality when handling sensitive or personal student information
  • Maintain filing systems and records
  • Support special projects and perform other duties and assist with special projects as assigned
  • May work in multiple residence halls/apartments depending on schedule and department needs

Office Assistant Responsibilities include but are not limited to:

  • Perform administrative responsibilities effectively and efficiently
  • Operate standard office equipment (phones, printers, scanners, etc.)
  • Maintain filing systems and records
  • Answer student/parent questions and handle complaints professionally
  • Maintain confidentiality of student inquiries and information
  • Conduct regular audits of building resources, including key inventory, supply stock, and documentation accuracy
  • Issue temporary keys, community access cards, and other resources
  • Ensure proper record keeping for the occupancy process (check-ins, check-outs, room changes)
  • Submit student billing forms for lost keys, damages, and other applicable charges
  • Provide tours to prospective residents and families
  • Assist with tracking building budgets and submitting receipts or order forms
  • Answer phone calls and respond to emails
  • Support special projects and complete other duties as assigned

Skills:

  • Must have basic math skills and ability to communicate both orally and in writing.
  • Familiarity with Microsoft office

Department Preferences:

  • Valid driver's license
