Position Purpose
The Communications & Marketing Manager is the primary marketing and communications leader for the ministry, responsible for coordinating the strategy, safeguarding the brand voice, and measuring the effectiveness of everything the organization says to donors, prospective donors, ministry partners, and the public. This is a working manager position: the person in this role sets marketing and communications strategy in partnership with senior leadership, then personally executes day-to-day content creation, social media management, email campaigns, and newsletters to bring that strategy to life. This role also manages a network of 3rd-party vendors and specialists—including copywriters, designers, video producers, and web developers—coordinating their work to ensure everything produced stays on-brand, on-message, and aligned to strategy.
Overview
The Manager leads marketing and communications strategy and budget development with the VP of Operations and the leadership team, and ensures the ministry's mission, vision, and values are represented consistently across donor and public-facing communications. This role is the strategic partner to every ministry program: identifying what each program needs to communicate, translating it into on-brand messaging, and prioritizing across competing requests. Rather than a single external agency, this role manages multiple vendors and freelancers for copywriting, design, video production, and website work. It requires strategic and creative judgment and the ability to execute independently, keeping all communications consistent, on-message, and effective at building donor trust.
Objectives
- Partner with ministry programs and leadership to coordinate marketing and communications strategy, prioritizing needs in alignment with the organization's mission and values.
- Safeguard the ministry's brand voice and visual identity, ensuring all messaging remains clear, consistent, and mission-aligned across digital and print channels.
- Measure the effectiveness of marketing and donor communications—tracking engagement, response, and giving-related metrics—and use those insights to guide content and channel decisions.
- Develop and manage an annual vendor strategy that identifies specialized services needed and maintains cost-effective relationships with vetted copywriters, designers, video producers, web developers, and other marketing specialists.
- Maintain and manage an internal communications calendar for all ministry areas, campaigns, and events.
Areas of Responsibility and Essential Position Functions
1. Strategic Communications & Marketing
- Partner with the leadership team to develop and execute the annual communications and marketing plan, coordinating priorities across ministry programs.
- Identify marketing trends, tools, and platforms and recommend approaches that fit the organization's goals and budget.
- Safeguard the ministry's brand voice, ensuring messaging and visual identity stay consistent and mission-aligned across all channels; maintain and update the organization's brand guidelines document and asset library so designers, vendors, and staff always have current standards to work from.
- Track and report on the effectiveness of marketing and donor communications, using results to inform ongoing strategy.
- Help build and manage the annual marketing budget in partnership with the VP of Operations, covering both in-house execution and vendor/specialist costs; track spend and report variances.
2. In-House Content Creation & Digital Marketing
- Social Media: Own all organizational social media accounts — content scheduling, community engagement, analytics reporting, and engagement with publicly posted content.
- Newsletters: Write, produce, and distribute internal staff newsletters and external donor/stakeholder newsletters on a regular schedule; manage subscriber lists and track performance.
- Email Campaigns: Build and send email campaigns to donors, partners, and staff, keeping messaging on-brand and aligned to engagement and giving goals.
- Blog & Web Content: Write blog posts, program spotlights, and web content that supports SEO and audience engagement; manage basic on-page SEO, including keyword use and metadata.
- Events & Presentations: Design presentations and visual materials for fundraising events, donor meetings, and board presentations; provide basic A/V support at organizational events as needed; lead promotion for fundraising events through social media, email campaigns, and event pages.
- Internal Communications Calendar: Maintain and manage an internal communications calendar for all ministry areas, campaigns, and events to ensure coordinated messaging.
3.Vendor and Specialist Management
This role manages a network of 3rd-party vendors and specialists to execute specialized marketing work, coordinating deliverables and ensuring brand alignment. Vendors and specialists may include agencies, freelancers, or contract workers as needed for the following areas:
- Copywriting & Editing: Work with copywriting specialists to develop compelling copy for appeals, campaigns, donor communications, website content, and collateral materials. Provide brand direction and messaging frameworks; review drafts for alignment with organizational voice and messaging.
- Proofreading & QA: Coordinate with proofreading specialists to ensure all external-facing communications are error-free, professionally polished, and on-brand before publication or distribution.
- Graphic Design & Layout: Brief designers on project scope, timeline, and brand requirements. Approve design concepts and final deliverables for all print and digital marketing materials, ensuring consistency with brand guidelines.
- Collateral Creation: Oversee the development of marketing collateral—from event materials to donor packages to print advertisements—ensuring each piece reflects the organization's mission and visual identity.
- Video Production: Manage video projects with production specialists, from initial briefing through final review. Ensure videos align with brand, messaging, and quality standards for use across digital channels.
- Website Development & Maintenance: Coordinate with web developers and content management specialists on website updates, new pages, feature development, and technical optimization. Brief vendors on project scope and timelines.
- Social Media Content Production: If additional capacity is needed beyond in-house creation, work with social media content specialists to produce graphics, short-form video, and other social media assets.
Vendor Management Responsibilities:
- Brief vendors on projects, timelines, brand direction, and quality expectations; review deliverables for alignment with brand standards and messaging.
- Track vendor spend against budget; negotiate timelines and costs as needed.
- Manage project timelines and coordinate logistics with vendors to ensure on-time, on-brand delivery.
- Maintain vendor relationships and evaluate performance regularly; adjust vendor partnerships as organizational needs evolve.
Qualifications
- Bachelor’s degree in communications, Marketing, Public Relations, or a related field preferred, or equivalent experience.
- 3–5 years of experience in communications or marketing, ideally in a role that combined strategic planning with hands-on execution.
- Nonprofit or ministry experience strongly preferred.
- Experience managing multiple vendors, agencies, or freelancers.
- Experience coordinating with outside vendors or agencies a plus.
- Project coordination and task management.
Technical Skills
- Working knowledge of social media management tools and email marketing platforms (e.g., Mailchimp, Constant Contact, HubSpot, etc.).
- Microsoft Office Suite, including strong PowerPoint skills.
- Familiarity with website content management systems (WordPress or similar) and basic analytics (Google Analytics/GA4).
- Skills in graphic design, video editing, or social media content creation are a plus.

Work Environment and Physical Demands
This position calls for 40 hours worked per week in our Casselberry office. Some additional hours may be required once or twice a year to support major events. This position requires regular phone, video, and computer use.
