Position summary

Under general supervision and per established firm policies and procedures, the Case Assistant provides legal and administrative support to attorneys and clients within the firm's Real Estate/Renewable Energy Projects practice. The role supports a range of real estate acquisitions, renewable energy project development, financing, and related transactional matters.

The Case Assistant is expected to keep a high level of professionalism, discretion, accuracy, and confidentiality and to develop effective working relationships with attorneys, clients, colleagues, vendors, and other professionals involved in transactions.

This position requires regular in-office collaboration with the team four days per week during regular business hours. In-office requirements may change or increase over time. Responsibilities may evolve and are not limited to those listed below

Job duties and responsibilities

  • Review and summarize purchase and sale agreements, leases, easements, access agreements, development agreements, and other real estate and project-related documents; prepare abstracts, summaries, and transaction-related reports.
  • Assist with tracking and managing client obligations and compliance requirements arising from real estate and project documentation, including maintaining and administering compliance-tracking software and systems.
  • Review and organize title commitments, title policies, surveys, zoning reports and certificates, environmental materials, entity documents, and other due diligence materials in connection with real estate acquisitions and renewable energy project development.
  • Assist attorneys with transaction management, including maintaining electronic deal files, coordinating due diligence, tracking outstanding items, and monitoring transaction timelines and deadlines.
  • Assist with real estate and renewable energy project closings, including preparing and organizing closing documents, maintaining closing checklists, coordinating signature and execution processes, assembling electronic and physical closing binders, and handling post-closing follow-up and documentation.
  • Support multi-state real estate acquisition, financing, and loan transactions.
  • Conduct searches of county, municipal, state, and other land records and assist with obtaining and organizing recorded documents and other public records.
  • Coordinate the preparation, execution, delivery, and recording of deeds, easements, memoranda, releases, financing documents, and other real estate instruments.
  • Assist with the preparation, review, organization, and maintenance of corporate, limited liability company, partnership, and other organizational documents.
  • Maintain accurate and organized transaction files and document-management systems per firm policies and procedures.
  • Communicate professionally and effectively with attorneys, clients, title companies, lenders, consultants, government offices, vendors, and other transaction participants.
  • Demonstrate strong organizational, writing, proofreading, and attention-to-detail skills.
  • Manage multiple matters, competing priorities, and deadlines with minimal supervision.
  • Demonstrate initiative, reliability, sound judgment, and a proactive approach to identifying and addressing administrative and transactional needs.
  • Adapt effectively to changing priorities, transaction timelines, and client needs.

Requirements

Education: Undergraduate degree required. Paralegal Certificate is a plus.

Experience: 

  • Entry-level Case Assistant position;
  • 1–3 years of experience in real estate, renewable energy, legal support, or a related field preferred.
  • Candidates with strong academic credentials, organizational skills, and demonstrated interest in real estate or renewable energy will be considered even without prior legal experience.

Skills:

Excellent communication skills and the ability to interact professionally and effectively with individuals at all levels of an organization. Strong organizational skills, with the ability to prioritize and manage multiple matters, deadlines, and competing demands. Exceptional attention to detail, accuracy, and proofreading skills. Ability to work independently with limited supervision while also collaborating effectively as part of a team. Strong problem-solving skills and the ability to exercise sound judgment and initiative within established guidelines. Flexibility and adaptability in a fast-paced, deadline-driven transactional environment. Proficiency with Microsoft Office and the ability to learn and effectively use document-management, transaction-management, compliance, and other legal technology platforms. Demonstrated commitment to confidentiality, professionalism, and high-quality client service.

Supervisory responsibilities: None.

Equipment used: Personal computer and other office equipment such as telephone, calculator, copier, scanner, etc.

Essential job functions

  • Ability to sit or stand for extended periods and perform tasks requiring prolonged and/or extensive computer use.
  • Ability to use computers, telecommunications, and digital collaboration tools to perform core job responsibilities.
  • Ability to communicate effectively.

  • Travel for meetings and training as required.
  • Ability to work extended hours as required to meet project, client, or business needs.

Working conditions

You will be required to work in the office at minimum 4 days per week. Occasionally called upon to work hours in excess of your normal daily schedule. The details of your weekly schedule will be discussed further with your direct supervisor.

Pay ranges

This is a non-exempt position. The hourly wage range for this role is $32.69 to $38.46, with an estimated annual compensation range of $68,000 to $80,000, based on expected hours. This represents the presently anticipated pay range for this position. Actual pay may vary based on various factors, including but not limited to location and experience.
