Card Access Specialist – Badge Operations - Onsite

Position Summary
Detail-oriented Card Access Specialist responsible for supporting daily badge operations and physical access management. Processes, validates, prints, prepares, and distributes employee and contractor access badges while ensuring all requests comply with established security procedures, identification requirements, photo standards, and access control policies. Maintains accurate badge records and production documentation while supporting high-volume, time-sensitive credentialing activities.
Key Responsibilities
- Process and print employee and contractor access badges in accordance with established badge operations procedures and service-level requirements.
- Review badge requests for completeness, accuracy, proper authorization, and compliance with company identification and photo standards.
- Validate employee and contractor information, including badge type, access profile, template selection, and required credential details.
- Operate badge printing equipment, card printers, related systems, and production supplies to create high-quality access credentials.
- Verify printed badge information against system records, including employee name, photograph, badge type, identification details, and badge serial number.
- Record badge serial numbers and maintain accurate documentation of badge production, issuance, replacement, and distribution activities.
- Prepare completed badges for employee pickup, shipping, onsite distribution, or other designated delivery methods.
- Review and reject incomplete, inaccurate, or non-compliant badge requests and communicate required corrections to requestors or appropriate support teams.
- Maintain accurate badge production records, inventory information, supply usage, and completed request documentation.
- Monitor and manage daily badge production queues to ensure requests are completed accurately and within established service-level expectations.
- Support high-volume badge production initiatives, print blitzes, new-hire onboarding events, and other time-sensitive credentialing requirements.
- Maintain confidentiality and appropriately safeguard employee, contractor, identification, and security-related information.
- Follow established physical security, access control, privacy, and operational procedures at all times.
- Identify discrepancies or unusual requests and escalate issues to appropriate security, facilities, HR, or access management personnel.
- Perform quality-control checks to ensure badges are printed correctly and meet established company standards before release.
- Monitor badge printer supplies, including card stock, ribbons, film, lanyards, and related materials, and communicate replenishment needs.
- Collaborate with HR, Facilities, Security, IT, hiring managers, and other business partners to resolve badge-related issues and complete requests.
- Maintain organized records and documentation using computer systems, spreadsheets, email, work queues, and office productivity applications.
- Prioritize multiple badge requests and manage repetitive, high-volume production activities while maintaining accuracy and attention to detail.
Required Qualifications
- High school diploma or equivalent required.
- Experience in badge administration, access control, security operations, administrative processing, credentialing, facilities, or a related operational support environment.
- Strong attention to detail and ability to consistently follow documented procedures.
- Ability to work with confidential employee and security-related information professionally and discreetly.
- Basic proficiency with computer systems, spreadsheets, email, work queues, and Microsoft Office applications.
- Strong organizational and time-management skills with the ability to manage high-volume workloads.
- Effective written and verbal communication skills.
- Ability to work independently while collaborating effectively with internal teams and business partners.
- Strong quality-control and problem-solving skills.
Preferred Qualifications
- Previous experience printing employee identification badges, access cards, identification cards, or secure credentials.
- Familiarity with physical access control systems, badge management platforms, credentialing systems, or badge request workflows.
- Experience working in corporate security, facilities, workplace services, identity and access management, or security administration.
- Experience operating badge printers and managing card stock, ribbons, film, lanyards, and other credentialing supplies.
- Experience reviewing employee photographs and profile information for compliance with established standards.
- Experience supporting employee onboarding, access provisioning, badge replacement, or termination-related access processes.
