Position Title: Campus Receptionist/Principal Admin. Assistant

Reports to: Campus Principal

Department: Main Office

Position Category: Permanent/full-time/exempt/11-month agreement

Position Summary: Under the direction of the Principal, performs a variety of clerical and support work involving both specific routines and broadly defined policies and procedures; greets and interacts with the public; works cooperatively with staff, students, and parents; and performs other related duties as assigned.

Job Scope: This position has no direct supervisory authority

Essential Job Duties and Responsibilities:

  • Receive incoming calls, take reliable messages, and route to appropriate staff
  • Greet school visitors including students, parents, and community members, follow process for managing the front door and checking in visitors to the school; Monitor security cameras
  • Perform secretarial functions for the Principal including generation of communications for Principal's approval and signature, schedule meetings and appointments for Principal
  • Coordinate and maintain Principal and school-wide calendars; Coordinate district-level information for the principal to include, but not limited to weekly bulletins, events, training, meetings, and deadlines; maintain confidentiality
  • Maintain adequate office supplies and materials in advance of need
  • Serve as point of contact for staff, substitutes, students, parents, and community with regards to general campus operations; Maintain daily staff and substitute teacher attendance records; assist with the coordination of substitute teachers
  • Maintain budgets to ensure adequate funding and alignment to Campus Action Plan
  • Manage requisitions and reconciliation process to include but not limited to generation of requisitions, verification of funding, maintenance of supporting documents, receipt of materials/services, and monitoring of payments
  • Maintain all documents related to expenditures of grants including materials, contracts and events, field trips, and personnel utilization
  • Assist with planning, preparation, and setup of faculty meetings and campus activities
  • Sort, distribute, or deliver mail and other documents
  • Administer medication to students, check temperatures, and notify parents of student illness in nurse's absence
  • All other duties as assigned by the Principal

Tools/Equipment Used: Standard office equipment including personal computer and peripherals

Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Motion: Repetitive hand motions including frequent keyboarding and use of mouse; occasional reaching

Lifting: Occasional light lifting and carrying (less than 15 pounds)

Environment: May work prolonged or irregular hours; occasional districtwide travel

Mental Demands: Work with frequent interruptions; maintain emotional control under stress

Minimum Education, Experience and Certification:

  • High School Diploma or GED required
  • Three years of related clerical and/or secretarial experience or Associate's Degree in business related area preferred

Preferred Skills and Capabilities - Demonstrated knowledge of district organization

Essential Job Requirements:

  • Education - High School Diploma and three years of related clerical and/or secretarial experience or Associate's Degree in business related area
  • Preferred Experience- the minimum level of education could be supplemented by commensurate experience and/or certification(s) or license(s) as determined by the hiring manager
  • Required Skills and Capabilities - Demonstrated knowledge of district organization, operations, and administrative policies; Demonstrated computer skills with Windows, Microsoft Office, and Google applications.
  • Preferred Skills and Capabilities - Spanish Conversant; experience working with students and parents in a public school setting or institution of higher education; experience with PEIMS
  • Physical Requirements - the employee is regularly required to sit; communicate verbally and electronically; stand, and move throughout the building and/or to other facilities; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; stoop, kneel, crouch, and/or crawl; climb; balance and drive. Frequently required to lift or exert force of up to 10 or more pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, and the ability to adjust focus. Frequently required to work prolonged and irregular hours. The noise level in the work environment is usually moderate. Frequently exposed to such environmental conditions as outdoor weather conditions. Occasionally exposed to such environmental conditions as moving mechanical parts, fumes, and air borne particles.
