Business Support Coordinator
Baton Rouge, LA | Predominantly On-Site with Occasional Remote Flexibility
Salary Range: $60,000 – $70,000 Based on Experience

Next Level Solutions is recruiting on behalf of one of our exceptional clients, a growing professional engineering services firm with approximately 30 employees. This is a newly created role designed to support business operations, reporting, process improvement, and long-term organizational growth.

This is an excellent opportunity for someone who enjoys working with data, systems, people, and business processes — and who wants to grow into a broader business operations role over time. The position will report directly to the Business Manager and will work closely with a small internal business support team.

 

About the Role

The Business Support Coordinator will help support the company’s day-to-day business operations, internal reporting, administrative systems, vendor tracking, and cross-department coordination. This role is not limited to one department; instead, it supports multiple areas of the business and helps ensure that information, processes, and reporting tools are accurate, organized, and useful for leadership.

This position was created as part of the company’s long-term succession planning strategy. The ideal candidate will be able to contribute from day one while also growing into increased responsibility over time.

Key Responsibilities

Business Operations Support

  • Assist the Business Manager with daily operational support, internal coordination, reporting, and follow-up across departments.
  • Help organize information, track action items, prepare meeting notes, and support internal business processes.

Reporting, Metrics & Excel Tracking

  • Maintain and update Excel-based tracking tools for company metrics, KPIs, vendor information, certificates of insurance, and other business data.
  • Use intermediate Excel skills, including formulas and organized spreadsheet design, to help leadership track and interpret business information.

Technology, AI & Process Improvement

  • Use tools such as ChatGPT, Claude, or similar AI resources to help improve spreadsheets, troubleshoot formulas, organize data, and streamline recurring tasks.
  • Identify opportunities to make internal systems, reports, and workflows more efficient, accurate, and user-friendly.

Vendor & Documentation Tracking

  • Assist with vendor documentation, certificates of insurance, compliance tracking, and other recurring administrative records.
  • Help ensure key documents, reports, and business records are current, organized, and easy to access.

Meeting & Internal Coordination

  • Prepare meeting notes, track follow-up items, and assist with internal communication between departments or office locations.
  • Support special projects as needed, including occasional opportunities to participate in meetings with other office locations. Travel is not required.

The ideal candidate is organized, resourceful, detail-oriented, and comfortable working with both people and data. This person should enjoy figuring things out, improving processes, and using technology to work smarter.

Qualifications

  • Bachelor’s degree in Business, Accounting, Management, Finance, or a related field required.
  • 3–5 years of experience in business support, operations support, accounting support, reporting, administrative coordination, project coordination, or a similar role.
  • Intermediate Excel skills required, including the ability to work with formulas, organize data, and maintain tracking tools.
  • Comfortable using or learning AI tools such as ChatGPT, Claude, or similar platforms to support Excel, reporting, research, documentation, and process improvement.
  • Strong written communication skills with the ability to prepare clear notes, summaries, and internal documentation.
  • High attention to detail and ability to manage multiple priorities.
  • Professional, team-oriented communication style.
  • Ability to work predominantly on-site in Baton Rouge, with occasional remote/hybrid flexibility as business needs allow.

Schedule & Work Environment

This role is predominantly on-site in Baton Rouge, Louisiana. There may be occasional opportunities for remote or hybrid work, depending on business needs and manager approval.

The company has multiple office locations. Travel is not required, although there may be occasional opportunities to travel in order to participate in meetings involving other locations.
