PURPOSE OF JOB:
In April 2025, Kansas City voters approved the first General Obligation Bond in more than 50 years to fund capital improvements at all KCPS schools. The Bond Planning & Construction Office Manager provides comprehensive and skillful administrative, operational and logistical support to the Bond Planning & Construction Office. This role ensures the smooth functioning of the Division by managing communication, coordinating schedules, supporting project documentation, and maintaining organized systems that enable efficient delivery of school construction and renovation projects.
What You'll Be Doing: (Responsibilities)
Administrative & Executive Support
- Manage calendars, schedule meetings, coordinate site visits, and organize internal/external appointments for the Division
- Provide administrative support for internal and public meetings, including meeting set-up, materials prep, agendas, meeting notes, board items/briefing materials, and follow-up on action items
- Serve as a central point of contact and respond to inquiries from school staff, community members, consultants, and contractors
- Serve as the staff liaison to the Bond Oversight Committee, providing administrative and logistical support for its quarterly meetings
Office Management & Operations
- Oversee daily office operations, including supplies, equipment, technology needs and coordinate with IT/facilities to address needs/resolve issues
- Maintain digital and physical filing systems for contracts, drawings, project documentation and compliance records
- Support onboarding of new team members, consultants and contractors
- Support the development/maintenance of a Bond Planning & Construction Office procedures manual
Project Coordination & Communications Support
- Assist with project documentation, including change orders, pay applications, submittals and closeout materials
- Help prepare materials and public communications for board meetings, community engagement
- Support compliance with district policies, state regulations and reporting requirements
Procurement & Financial Support
- Assist with procurement processes, including purchase requisitions, vendor coordination and contract tracking
- Assist with processing invoices, monitoring budget codes, and support financial reporting requirements
- Maintain accurate records for audits, bond reporting, and state/federal compliance

- Associate's degree or equivalent work experience
- Experience providing administrative support to executives or project teams
- Strong written and verbal communication skills
- Strong interpersonal and organizational skills and the ability to manage multiple priorities
- Proficiency in Microsoft Office Suite, Teams, SharePoint, scheduling tools, project management platforms and office equipment
- Ability to maintain confidentiality and handle sensitive information
