Job Title: Bidder Services Representative

Department: Bidder Services

Reports to: VP, Business Operations and Client Services

 

Position Purpose:

The Bidder Services Representative plays a key role in delivering a premium experience to our bidders, guests and consignors. This position is responsible for credentialing and registering bidders while maintaining ongoing communication, and ensuring a seamless and personalized experience before, during, and after all events/auctions. The role requires in-office and on-location responsibilities, with a strong focus on customer service, organization, and discretion.

The position requires capable knowledge of technology, excellent customer service skills, the ability to collect and record data and possess time management skills in order to meet deadlines; the ability to establish priorities, multi-task and problem-solve; and the ability to develop working procedures.

 

Key Areas of Responsibility:

  • Act as the primary point of contact for all bidder registration inquiries and support needs
  • Review, verify, and approve bidder registrations, proactively following up to obtain any missing or incomplete information
  • Deliver high-quality customer service by addressing bidder questions, concerns, and issues in a timely, professional manner
  • Manage and oversee the end-to-end bidder registration process to ensure accuracy and efficiency
  • Identify opportunities for process improvement and support the implementation of enhancements to optimize registration workflows
  • Safeguard sensitive customer data by maintaining strict confidentiality and ensuring PCI compliance
  • Assist bidders with registration via online platforms or phone when in-person attendance is not possible
  • Maintain accurate and up-to-date financial records to streamline on-site cashiering operations
  • Respond promptly to all registration-related phone and email inquiries with clear and courteous communication
  • Maintain comprehensive knowledge of company operations and events to effectively address general inquiries
  • Utilize internal systems and platforms to perform customer service and administrative tasks efficiently

Education and/or Experience:

  • Bachelors degree or equivalent experience
  • Live event experience highly preferred
  • Proven experience in high-end customer service
  • Must be extremely organized and able to coordinate several different projects at the same time
  • Proven competency in the use of Microsoft Office (Excel, Word and Outlook) as well as familiarity with a CRM
  • Proven ability to remain flexible in the work environment and manage multiple priorities under time constraints in a fast paced environment, with an attention to detail
  • Exceptional oral and written communication skills
  • Highest degree of confidentiality, tact and diplomacy required
  • Ability to be pro-active and detail-oriented; must work successfully under pressure and handle all situations with the highest degree of professionalism
  • Ability to work independently and as part of a team
  • Level headed decision making abilities
  • Ability to work non-traditional hours during peak season
  • Ability to travel, sometimes on short notice, to events around the US
  • Maintain professionalism, including phone etiquette, manners, appearance, attitude
  • Classic Car knowledge a plus

Culture

Barrett-Jackson's culture is live and in-person. Team members are in the office 5 days per week, 8am to 5pm at the Scottsdale, AZ headquarters. During live events the company largely travels together to produce and ensure each event is a success. This requires weekend work and long hours.
