    Benefits Specialist — Benefits, Leave & Workers’ Compensation Specialist

    Reports to: Director of HR

    Onsite: All 5 days - 8-5pm in mandatory. In Sunnyvale and San Jose. Cover both sites as needed.




    Position Summary
     The Benefits, Leave & Workers’ Compensation Specialist is responsible for the day-to-day administration and full ownership of employee benefits, Leaves of Absence (LOA), and Workers’ Compensation (WC). This role requires strong hands-on experience managing complex leave cases and WC claims, ensuring compliance, accurate documentation, timely communication, and a positive employee experience.




    Key Responsibilities

    Benefits Administration
    • Administer medical, dental, vision, life, disability, 401(k), and voluntary benefit programs. 
    • Manage new hire enrollments, qualifying life events, terminations, and benefit changes. 
    • Support annual Open Enrollment and employee communications. 
    • Coordinate with brokers, carriers, ADP, and benefit vendors. 
    • Reconcile benefit invoices and payroll deductions in partnership with payroll team. 
    • Maintain accurate employee benefit records. 

    Leave of Absence — Primary Owner
    • Own the end-to-end LOA process from initial request through return to work. 
    • Administer FMLA, CFRA, Pregnancy Disability Leave (PDL), ADA-related leave coordination, and other applicable federal and state leaves. 
    • Determine applicable leave requirements and coordinate required documentation and notices. 
    • Track leave balances, eligibility, certifications, extensions, deadlines, and return-to-work dates. 
    • Coordinate benefit continuation and payroll impact during leave. 
    • Communicate directly with employees and managers throughout the leave process. 
    • Maintain confidential and accurate LOA records. 
    • Partner with HR leadership and legal counsel on complex or high-risk leave matters. 

    Workers’ Compensation — Primary Owner
    • Own the day-to-day Workers’ Compensation process and claims administration. 
    • Partner closely with EHS on all workers’ compensation matters, coordinating injury reporting, case management, return-to-work efforts, and related follow-up, to support a consistent, timely, and effective approach.
    • Report workplace injuries and claims to the appropriate carrier/TPA in a timely manner. 
    • Serve as the primary HR contact for employees with WC claims.
    • Coordinate with employees, managers, medical providers, insurance carriers, and claims administrators. 
    • Track medical appointments, work restrictions, claim status, and return-to-work plans. 
    • Coordinate modified-duty and return-to-work processes with managers and EHS. 
    • Maintain accurate WC documentation and claim files. 
    • Monitor open claims and follow up on outstanding actions. 
    • Assist with claim resolution and escalate complex or high-risk claims appropriately. 
    • Track WC trends and identify opportunities to reduce claims and costs. 




    Other related duties as assigned.




    Qualifications
    • 5+ years of hands-on HR/Benefits experience, with significant experience independently managing end to end LOA and Workers’ Compensation.
    • Manufacturing work environment experience preferred.
    • Strong working knowledge of FMLA, CFRA, PDL, ADA/interactive process coordination, and other applicable leave requirements. 
    • Demonstrated experience managing WC claims from initial reporting through resolution/return to work. 
    • Experience working directly with benefit carriers, brokers, WC carriers/TPAs, employees, and medical providers. 
    • Strong understanding of benefit administration and payroll deductions. 
    • Experience with HRIS/payroll systems; ADP WFN experience preferred. 
    • Excellent organization and follow-through with the ability to manage multiple cases simultaneously. 
    • Strong judgment and discretion when handling confidential and sensitive employee matters. 
    • Excellent written and verbal communication skills. 
    • SHRM-CP, PHR, CEBS, or similar certification preferred.
