Position Summary:

The Benefits Coordinator for Leave of Absence & Accommodations will be responsible for monitoring the third-party vendor relationship to ensure compliance with company policy regarding leaves as well as federal, state, and local regulations regarding leaves of absences and accommodations. This employee is responsible for determination of FMLA eligibility, responding to escalation and data requests, and sending out reports and updates regarding the status of employees' leave of absence requests to location contacts. This position is also responsible for the processing of leaves for non-union part-time employees and for reconciliation of any benefit deductions related to employees on leave as needed and coordination of leave pay due to employees with payroll. This position will serve as a liaison between the employees, vendor, and location management to manage the coordination of employee work restrictions and accommodations.

 

This role pays an hourly rate of $31.00-$37.00

 

Benefits for Full-Time Roles: Health, dental, and vision insurance; 401(k) savings plan; 401(k) matching; and paid time off (vacation days, sick days, and 11 holidays).

 

This position will remain open until November 13, 2026.

Responsibilities:
  • Coordinate and track the LOA process manually and with outside administrators for the non-union population, including company, personal, state, and federal leaves.
  • Coordinate communication between employee management, benefits, and payroll as needed to resolve leave-related concerns.
  • Processes benefit payments calculated by outside administrator and coordinates leave payments with state leave entitlements to ensure accurate payment of leave benefits.
  • Analyze monthly employee census data in accordance with applicable regulatory eligibility requirements to prepare, submit, and reconcile monthly state benefits reporting to ensure accurate premium remittance and auditing.
  • Partner with location management and HR business partners to determine if work restrictions can be accommodated with consideration and review of the employee's job description.
  • Act as point person for employees with inquiries about leave of absences and accommodation to engage in the interactive process with employee if necessary.
  • Coordinate all aspects of the accommodation process, including monitoring requests, consulting with legal as needed, documenting outcomes, and communicating accommodation approvals or denials to employees and management.
  • Documents internal workflow processes and updates as needed.
  • Analyzes leave trends and processes for anomalies and recommends corrective action to benefits management as needed.
  • Assist in documentation requests from the Legal department as needed.
  • Educate location managers on leave and accommodation processes, and provide leave documentation history to support employment actions as needed.
  • Proactively manage HR systems in order to ensure data integrity. Leverage ADP for reporting and streamlining of HR processes (LOA tracking). Partner with HRIS on resolving ADP issues.
  • Perform other duties as assigned.
Qualifications:
  • 1-2 years of human resources experience or a related field.
  • Experience with state and federal FMLA regulations, ADA, and worker's compensation is desired.
  • Experience with medical disability management and working with third-party leave management is desired.
  • Experience in the development of process documentation and standard operating procedure updates is preferred.
  • Professional and personable with the ability to exercise sound judgment when dealing with sensitive and confidential matters.
  • Demonstrated ability to drive HR processes and to deliver high-quality HR services.
  • Experience in both non-union and union/represented environments in the retail or hospitality industry is preferred.
  • Flexibility and adaptability in a fast-paced, constantly changing environment.
  • Ability to prioritize effectively, think independently, and problem solve to ensure all projects are completed in an effective and timely manner.
  • Ability to work with others and collaborate across the organization to achieve goals.
  • Strong organization and time management skills, detail-oriented, and ability to handle multiple tasks and assignments.
  • Excellent professional communication skills.
  • ADP or HRIS experience preferred.
  • Highly proficient with Microsoft Office (Outlook, Excel, PowerPoint, Word).
  • Proficient in multi-tasking and management of multiple projects.
