    Position Purpose

    The Back-Up Administrative Coordinator supports the Administrative Coordinator and store leadership team by performing a variety of administrative, payroll, scheduling, onboarding, records management, and office support functions. This position serves as a secondary resource for administrative operations and ensures continuity of critical store functions in the absence of the Administrative Coordinator while maintaining confidentiality, accuracy, and compliance with company policies.

    Key Responsibilities Administrative Support

    • Assist with daily administrative operations and office functions.
    • Maintain organized employee, payroll, scheduling, and personnel records.
    • Prepare, file, and retain documents in accordance with company policies and legal requirements.
    • Answer store telephone calls and direct inquiries appropriately.
    • Support store leadership with administrative projects and reporting needs.

    Payroll & Timekeeping

    • Assist with payroll processing activities and timekeeping administration.
    • Review timecard exceptions and notify appropriate leaders of discrepancies.
    • Help maintain attendance records and scheduling documentation.
    • Ensure payroll information is accurately entered and submitted within required deadlines.
    • Maintain confidentiality of payroll and personnel information.

    Hiring & Onboarding Support

    • Support hiring and onboarding processes for new associates.
    • Assist with new hire paperwork, orientation scheduling, and employment documentation.
    • Help ensure required onboarding documents are completed accurately.
    • Coordinate communication between candidates, store leadership, and support departments.
    • Maintain personnel files and onboarding records in compliance with company standards.

    Human Resources Support

    • Assist associates with routine questions regarding company systems, forms, and administrative processes.
    • Support compliance with company policies and employment-related procedures.
    • Maintain confidentiality regarding employee and business information.
    • Help coordinate training schedules, meetings, and administrative communications.

    Financial & Office Administration

    • Assist with invoice processing, office supply ordering, and record maintenance.
    • Prepare and maintain reports, spreadsheets, and administrative documentation.
    • Support cash office and accounting functions as assigned.
    • Ensure administrative records remain accurate and up to date.

    Customer Service & Store Support

    • Provide professional customer and associate service.
    • Support store leadership with communication and administrative coordination.
    • Serve as a resource for associates requiring administrative assistance.
