    Assistant Facilities Manager

    A global leading tech firm is looking to hire an Assistant Facilities Manager to join their team.  The AFM plays a key role in supporting the strategic and day-to-day management of a large corporate campus consisting of two buildings totaling nearly half a million sq ft in central Austin. This position supports a dynamic, fast-paced workplace for a global technology company and is responsible for helping ensure that facilities are safe, efficient, innovative, well-maintained, and aligned with an exceptional employee and visitor experience.

    Working closely with the Facilities Manager and cross-functional business partners, the Assistant Facilities Manager will oversee building operations, maintenance, vendor relationships,, workplace services, and operational initiatives across both facilities.

    The ideal candidate is a proactive, highly organized facilities professional who thrives in a complex corporate environment and can balance strategic priorities with hands-on operational responsibilities.

    Responsibilities

    Facilities Operations

    • Assist in the overall management and operation of the campus.

    • Support the delivery of a safe, efficient, highly functional, and professional workplace environment for employees, executives, clients, and visitors.

    • Conduct regular inspections of offices, common areas, conference spaces, mechanical rooms, exterior areas, and other building spaces to ensure operational excellence.

    • Oversee and coordinate preventive and corrective maintenance programs.

    • Monitor the performance and condition of critical building systems, including HVAC, electrical, plumbing, building automation systems, elevators, fire and life-safety systems, and other infrastructure.

    • Respond to facility-related issues, service requests, and operational concerns in a timely and customer-focused manner.

    • Identify opportunities to improve building performance, operational efficiency, sustainability, and the overall workplace experience.

      Workplace & Employee Experience

    • Partner with internal stakeholders/clients/employees to support high-quality workplace experience across both facilities.

    • Assist with the coordination of office moves, space planning, furniture installations, and workspace reconfigurations.

    • Support conference room, collaboration space, and common-area functionality.

    • Work collaboratively with teams such as Information Technology, Security, Human Resources, Workplace Experience, and Corporate Services.

    • Assist with workplace initiatives designed to support employee productivity, engagement, and collaboration.

       

       

      Vendor & Service Provider Management

    • Coordinate and oversee relationships with vendors, contractors, and service providers.

    • Assist with vendor selection, contract administration, scheduling, and performance management.

    • Monitor service quality and ensure vendors meet established service levels and company expectations.

    • Coordinate vendor access, work activities, and compliance with site security and safety requirements.

    • Review invoices, service reports, and other documentation for accuracy and completion.

       

      Safety, Security & Business Continuity

    • Support compliance with applicable building codes, safety standards, and environmental regulations.

    • Assist with fire and life-safety inspections, testing, training, and emergency preparedness.

    • Partner with Security and other internal teams to support facility access, contractor management, and site security requirements.

    • Participate in emergency response and business continuity planning.

    • Maintain accurate records related to inspections, maintenance, repairs, incidents, and regulatory compliance.

       

       

      Qualifications

    • Bachelor’s degree preferred but not required

    • 3–7 years of experience in facilities management, corporate real estate, workplace operations, property management, or building operations.

    • Experience supporting large, complex corporate facilities or multi-building portfolios.

    • Strong working knowledge of commercial building systems, including HVAC, electrical, plumbing, fire/life safety, and building automation systems.

    • Experience managing vendors, contractors, and service providers.

    • Proficiency with Microsoft Office and facility, maintenance, or workplace management systems.
