Application Workflow Developer, Student Assistant II

The Sutardja Center for Entrepreneurship & Technology (SCET) is a global innovation hub headquartered at UC Berkeley's College of Engineering, where aspiring entrepreneurs and innovators take deep dives into the world of technology entrepreneurship and embark on the path to developing exciting new ventures.

SCET Global is seeking a Student Assistant II to support an AI and workflow automation project focused on improving the course assignment process for concurrent enrollment students.

External Title: Application Workflow Developer

Payroll Title: Student Assistant II

Reports To: David Law, SCET Director of Global Academics

Duration: Short-term project, twenty (20) hours total

Time Commitment: Twenty (20) hours total, scheduled based on project needs

Pay Rate: $26/hour

Location: Hybrid. Must be available to meet in person as needed at the SCET workspace on the UC Berkeley campus.

Position Summary

The Application Workflow Developer will work with SCET Global to develop and automate a course assignment workflow for concurrent enrollment students.

The goal of the project is to create a system that can evaluate student course preferences alongside factors such as course capacity, prerequisites, and other predefined rules, then recommend appropriate course assignments. The workflow should also be able to adapt when circumstances change, reducing the need for staff to manually review and re-sort student assignments.

This is a hands-on project for a student interested in applying software development, automation, and AI-enabled workflows to a real administrative challenge within UC Berkeley.

Key Responsibilities

Workflow Development and Automation

• Design and develop a workflow for assigning concurrent enrollment students to courses based on predefined criteria.
• Translate course assignment policies and staff requirements into clear system rules and logic.
• Automate portions of the assignment process to reduce repetitive manual work.
• Develop a system that can recalculate assignments when course availability, prerequisites, or other relevant conditions change.

Application and Assignment Logic

• Incorporate student-ranked course preferences into the assignment workflow.
• Account for course capacity, eligibility requirements, prerequisites, and other predefined rules.
• Develop logic for resolving conflicts when multiple students request courses with limited capacity.
• Ensure the workflow can respond appropriately when staff update course information or student eligibility.

Testing and Refinement

• Test the workflow using different student, course, and capacity scenarios.
• Identify edge cases and potential issues in the assignment process.
• Work with SCET Global staff to refine assignment rules and workflow behavior.
• Help ensure the final system is reliable, understandable, and practical for staff use.

Documentation and Handoff

• Document the workflow, assignment logic, and relevant technical processes.
• Provide clear instructions so SCET staff can understand and operate the system.
• Support the handoff of the completed workflow to the SCET Global team.

Example Use Case

A student submits a form ranking their top five course preferences. The system evaluates those preferences alongside course capacity and other predefined rules and recommends a course assignment.

If staff later marks a course as full or identifies a missing prerequisite, the system automatically recalculates the affected student's assignment and, when necessary, other affected assignments without requiring staff to manually re-sort the entire group.

Preferred Qualifications

• Experience with software development, workflow automation, or related technical projects.
• Strong logical and analytical problem-solving skills.
• Interest in AI, automation, and improving operational processes.
• Ability to translate real-world requirements into structured rules and workflows.
• Experience working with forms, databases, APIs, automation platforms, or similar systems is a plus.
• Strong communication and documentation skills.
• Ability to work independently while incorporating feedback from SCET staff.

Eligibility

This position is intended for a UC Berkeley student eligible for appointment under the Student Assistant II payroll title.
