Job Description
Position Title: Administrative On-Site Assistant
Reports To: Property Manager
Location: On-site – Community Office
Employment Type: Part-Time (with the opportunity to transition to Full-Time)
Schedule: Monday, Wednesday & Friday, 8:00 AM – 5:00 PM (one-hour lunch), plus the first Saturday of each month
Position Summary
The Administrative On-Site Assistant is the welcoming face of the community and the administrative backbone of the on-site office. This individual creates a friendly, inviting atmosphere for customers, prospects, and residents while supporting the day-to-day leasing, marketing, and clerical operations of the community. Working closely with the Property Manager, the Assistant keeps the office running smoothly and helps drive occupancy through responsive service and community outreach.
Key Responsibilities
Front Office & Customer Service
• Greet all customers, prospects, and residents, maintaining a friendly and inviting atmosphere.
• Answer incoming calls and check voicemails, responding promptly and professionally.
• Assist with daily requests from the Property Manager.
Leasing & Prospect Support
• Process prospects and complete guest cards accurately and in a timely manner.
• Show available homes to prospective residents.
• Prepare and distribute Available Homes flyers.
Administrative & Records
• Handle office scanning and filing, keeping records organized and up to date.
• Enter, track, and follow up on community work orders.
• Manage correspondence and general clerical duties for the office.
Marketing & Community Outreach
• Coordinate correspondence with local advertising and marketing efforts.
• Create and update Facebook postings for the community.
• Support community outreach initiatives.
• Issue and track violation notices as directed.
Property Oversight
• Complete regular drive-throughs of the community to monitor conditions and flag potential issues such as fallen trees, damaged infrastructure, or violations of community rules.
• Report maintenance needs and resident concerns to the Property Manager or the appropriate team members.
• Deliver notices — such as rent reminders and violation notices — to residents in a timely and professional manner.
Qualifications
Experience
• Prior administrative, front-office, customer service, leasing, or property management experience preferred.
• Familiarity with mobile home communities or residential property management is an advantage.
Skills
• Strong communication and interpersonal skills.
• Organized, detail-oriented, and able to manage multiple tasks at once.
• Comfortable with office software, email, and social media platforms such as Facebook.
• Customer service orientation with a focus on positive resident and prospect relationships.
Requirements
• Valid driver’s license and reliable transportation.
• Ability to show homes on-site and move about the community as needed.
• Professional, dependable, and punctual, with the flexibility to work the first Saturday of each month.
