Description

A nonprofit organization is seeking an organized, personable, and detail-oriented Administrative & PR Assistant to support daily office operations, member communications, events, and fundraising activities.This is a great opportunity for someone who enjoys working with people, coordinating events, and handling a variety of administrative tasks in a community-oriented organization.

Key Responsibilities

  • Answer phone calls and respond to emails from members and external contacts
  • Maintain member information, payments, and other records in the database
  • Manage office supplies, incoming and outgoing mail, and general administrative tasks
  • Prepare and distribute a weekly email newsletter
  • Assist with planning and coordinating member, community, and cultural events
  • Support fundraising events and Foundation grant activities
  • Coordinate event invitations, registrations, and attendee lists
  • Assist with meetings and communications with other business and community organizations
  • Write and proofread articles and other content for newsletters and online communications
  • Support weekend events as needed
  • Assist the Executive Director and staff with special projects and other administrative duties

Qualifications

  • Strong communication and interpersonal skills
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple tasks and meet deadlines
  • Strong English and Japanese communication skills; native or native-level Japanese preferred
  • Proficiency in Microsoft Office, including Word, Excel, and PowerPoint
  • Professional and dependable with a positive attitude
  • Previous administrative, event coordination, customer service, or nonprofit experience is a plus
  • Associate degree or equivalent experience preferred
  • Valid driver’s license preferred

Schedule

  • Monday–Friday, 9:00 AM–5:00 PM
  • Hybrid schedule: approximately 2 days in the office and 3 days remote 
  • Some weekend work is required for events
  • During the initial training period, the position will generally be based in the office for several weeks

Compensation & Benefits

  • $46,200 per year
