The Louisiana Department of Transportation and Development (DOTD) is seeking a highly organized and detail-oriented Administrative Coordinator 4 to support the Legal Section's Property Unit. This position serves as a key administrative support role within a specialized legal environment focused on property matters, expropriation lawsuits, inverse condemnation lawsuits, right-of-way matters, litigation support, legal records, reports, invoices, and case-related documentation.

This role involves managing a high volume of legal and property-related documents, assisting with litigation support activities, tracking case information, maintaining hard-copy and electronic files, preparing and organizing reports, and supporting attorneys and legal staff with administrative and clerical functions. The position may interact with DOTD staff, attorneys, courts, agencies, consultants, appraisers, private citizens, and other internal and external stakeholders on matters that require accuracy, confidentiality, and attention to detail.

This role is ideal for an administrative professional who thrives in a structured, detail-driven environment and is comfortable working with legal documents, case files, deadlines, data entry, reports, invoices, and complex documentation.

Minimum Qualifications
Three years of experience in administrative services.

EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information
Job Duties:
  • Provides administrative support to attorneys and legal staff within the Legal Section's Property Unit.
  • Assists with litigation support activities related to expropriation, inverse condemnation, right-of-way, property, and other related legal matters.
  • Prepares, organizes, scans, files, and maintains legal documents, pleadings, correspondence, case materials, affidavits, notices, reports, and other records.
  • Assists with the preparation, formatting, tracking, and processing of litigation documents, including petitions, orders, receipts for service, motions, exceptions, answers, correspondence, judgments, memoranda, and related materials.
  • Maintains hard-copy and electronic legal files, case records, calendars, spreadsheets, suit assignment logs, docket information, service information, and other Property Unit records.
  • Monitors case-related activity, including suit filings, service of process, notices of acceptance, discovery materials, file closures, and related documentation.
  • Reviews and processes invoices related to legal services, court costs, property unit expenses, and related matters; verifies information, obtains required approvals, and tracks payment status.
  • Prepares, updates, and maintains Property Unit reports and spreadsheets, including litigation reports, attorney reports, settlement-related reports, payment request reports, refund logs, travel expense records, and other reports as required.
  • Uses Microsoft Office, Microsoft Access, Outlook, Legal Database, Acuity, FileNet, LaGov, and other systems to enter, retrieve, track, and manage information.
  • May be required to perform other duties as necessary, including emergency or disaster support activities.
Position-Specific Details:

Appointment Type: This position may be filled as either a probational appointment (open to all qualified applicants), a promotion (open to all statewide classified and Agency-wide permanent status employees), or by detail to special duty.

Compensation: This position receives premium pay of $2.00 per hour for all hours worked.

Additional compensation may be considered for applicants who possess extraordinary job-related qualifications or credentials in accordance with State Civil Service Rule 6.5(g) and DOTD policy. Any such consideration is subject to approval and applicable pay limitations.
