The Administrative Assistant / Event Coordinator serves as a key representative of Vermillion, creating a professional and welcoming experience for employees, customers, vendors, and visitors. This position is responsible for front-office and reception activities, general administrative support, and the coordination of internal company events, customer and vendor visits, trade shows, and other business activities.

The ideal candidate is outgoing, professional, highly organized, dependable, and comfortable interacting with people at all levels. This individual takes initiative, enjoys bringing people and details together, and can successfully manage multiple priorities while maintaining a positive and professional environment.

Essential Duties and Responsibilities

  • Serve as a professional and welcoming first point of contact for customers, vendors, visitors, and employees.
  • Answer incoming telephone calls promptly and professionally and assist callers or direct them to the appropriate person or department.
  • Greet, assist, and appropriately direct visitors.
  • Perform general administrative duties, including filing, copying, mail distribution, document preparation, and data entry.
  • Coordinate incoming and outgoing mail, packages, and deliveries.
  • Help ensure reception, conference rooms, break rooms, supply areas, and other shared places remain clean, organized, stocked, and ready for employees and guests.
  • Plan, coordinate, lead, and promote internal company events, including employee celebrations, meetings, wellness activities, and other company-sponsored events.
  • Coordinate customer and vendor visits, including meeting spaces, materials, refreshments, schedules, and other arrangements necessary to provide professional guest experience.
  • Assist with company trade shows, customer events, and other external business activities, including event preparation, materials, registration, customer information collection, and administrative support.
  • Travel periodically to trade shows and customer events to provide administrative and event support and work collaboratively with the Sales team.
  • Organize and maintain event, trade-show, and customer-visit materials and supplies.
  • Coordinate with departments throughout the organization to ensure events, meetings, and visits are well organized and executed.
  • Provide general administrative support to departments and leadership as needed.
  • Perform other duties and special projects as assigned.

    Qualifications


  • High school diploma or GED required; additional education or relevant experience preferred.
  • Previous administration, reception, customer service, hospitality, or event coordination experience preferred.
  • Strong interpersonal, written, and verbal communication skills.
  • Professional demeanor and presentation appropriate for frequent interaction with customers, vendors, visitors, and employees.
  • Outgoing and approachable, with the confidence to initiate conversations and comfortably engage with new people.
  • Strong organizational and event-planning skills.
  • Ability to prioritize, organize, and successfully complete multiple tasks and projects.
  • Strong attention to detail and follow-through.
  • Proficiency with computers and Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Strong keyboarding and data-entry skills.
  • Dependable and punctual with a demonstrated commitment to reliable attendance.
  • Self-motivated and able to work independently while also collaborating effectively across departments.
  • Demonstrated initiative and willingness to take ownership of responsibilities.
  • Ability to maintain professionalism and discretion when handling company, employee, customer, and vendor information.
  • Ability and willingness to travel periodically, including occasional overnight travel, for trade shows, customer events, and other company activities. Company-authorized travel expenses are paid by Vermillion.
