    Road & Rail Services is seeking an experienced and dependable Administrative Assistant to support our operation in Twin Oaks, Pennsylvania.

    This position plays an important role in keeping the site's administrative processes organized and running efficiently. You'll work closely with site management and employees to maintain records, process paperwork, assist with payroll-related functions, coordinate schedules and meetings, and ensure required information is completed accurately and on time.

    We're looking for someone who is organized, comfortable working with numbers and spreadsheets, and able to manage multiple priorities without losing attention to detail.

    Previous administrative experience and proficiency with Microsoft Excel are required.

    What You'll Do

    As an Administrative Assistant, your responsibilities will include:

    Provide day-to-day administrative and clerical support to site management

    Prepare, organize, process, and maintain company and customer paperwork

    Perform accurate data entry and data processing

    Create and maintain Excel spreadsheets and administrative tracking documents

    Assist with payroll-related records and documentation

    Maintain financial and basic accounting records as assigned

    Type correspondence, reports, forms, and other business documents

    Organize electronic and physical files

    Coordinate meetings, appointments, schedules, and conferences

    Assist with ordering and maintaining office supplies

    Support direct mailings and other administrative projects

    Track paperwork and follow up on outstanding documentation

    Help ensure corporate paperwork is completed accurately and within established deadlines

    Communicate professionally with employees, management, customers, and corporate departments

    Maintain confidentiality when working with employee and company information

    Drive vehicles when required and follow all company and customer operating procedures

    Follow all company, customer, and industry safety requirements

    Assist with additional administrative or operational projects as assigned by site management

    What We're Looking For

    Qualified candidates must have:

    At least 1 year of previous administrative experience

    At least 1 year of experience using Microsoft Office programs

    Proficiency with Microsoft Excel and spreadsheets

    Ability to type at least 30 words per minute with minimal errors

    Basic accounting skills

    Data-processing experience

    Strong attention to detail and accuracy

    Ability to organize and prioritize multiple assignments

    Dependable attendance and punctuality

    Professional written and verbal communication skills

    Ability to work independently while supporting a team environment

    A valid state-issued driver's license must be maintained when operating company equipment or vehicles.

    Conditions of Employment
