EDUCATION AND EXPERIENCE :
High School Diploma or Equivalent
Six years clerical or administrative experience

High School Diplomas and college/university degrees must be obtained from an accredited program or university approved by the United States Department of Education and the Texas Education Agency.

PRIMARY PURPOSE SUMMARY :
Provides administrative support as required by the Executive Director of Communications.

ESSENTIAL REQUIREMENTS AND RESPONSIBILITIES:
1. Performs administrative support as directed by the Executive Director of Communications.
2. Receives and screens phone calls, takes messages, places phone calls, schedules appointments, maintains calendars, coordinates meetings, and schedules conference room.
3. Prepares and maintains files for the Executive Director of Communications.
4. Ensures billing and payments received are currently posted monthly by working with vendors.
5. Maintains budget for the department and reports to the Executive Director of Communications regarding the budget.
6. Contacts clients to clarify/confirm requested services.
7. Maintains daily, weekly, and monthly activity schedules.
8. Receives, compiles, and maintains work orders from campuses/departments.
9. Orders and receives supplies and audio/video equipment for the department.
10. Creates purchase orders for all department needs.
11. Maintains inventory of current equipment.
12. Assists in the preparation of community events.
13. Sorts and distributes mail.
14. Schedules and prepares travel for the Executive Director and department.
15. Prepares requests for prices submitted to vendors.
16. Assists with set-up and pickup of equipment when necessary.
17. Occasionally required to drive personal vehicle in the performance of assigned tasks.
18. Maintains confidentiality of information.
19. Reports to work on time every day.
20. Performs additional duties and responsibilities as may be assigned.

QUALIFICATION REQUIREMENTS: • Proficient in the use of various computer software systems, including Microsoft products such as Word, Excel, Power Point and Publisher
• Excellent organizational and file maintenance skills
• Excellent telephone, interpersonal, and communication skills
• Ability to type a minimum of sixty (60) words per minute
• Ability to communicate clearly and effectively, both verbally and in writing
• Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community
• Ability to effectively present information to top management, public groups, and/or boards of directors
• Valid Texas Driver's License with driving record that meets the requirements of the District

The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and ability to adjust focus.

WORK ENVIRONMENT: The employee is occasionally exposed to risk of electrical shock. The noise level in the work environment is usually moderate.
