Administrative Assistant - Quality Verification

Location: Mishawaka, Indiana

Hourly pay $19-$22/hr

Position Summary
Our client is seeking a detail-oriented Administrative Assistant to support Quality Verification activities within a manufacturing environment. This role is responsible for tracking and maintaining documentation throughout established approval processes, ensuring records are accurate, organized, and completed in a timely manner. The ideal candidate will have strong organizational skills, basic Microsoft Office proficiency, and the ability to manage multiple tasks while supporting a fast-paced team.

Responsibilities
  • Track, organize, and maintain documentation throughout the approval and verification process
  • Update Excel spreadsheets, logs, and reports to monitor document status and workflow progress
  • Route documents to appropriate team members and obtain required approvals and signatures
  • Provide administrative support including filing, scanning, record management, and scheduling assistance
  • Assist in preparing materials for internal reviews, meetings, and presentations
  • Maintain electronic and physical records in accordance with department procedures
  • Support special projects and additional administrative tasks as assigned
  • Communicate effectively with team members to ensure timely completion of documentation and workflow requirements
Knowledge and Skills
  • High School Diploma or GED required
  • 0-2 years of administrative, clerical, or office support experience preferred
  • Entry-level candidates with strong organizational skills are encouraged to apply
  • Proficiency with Microsoft Office applications, including Excel, Outlook, and Word
  • Experience with SharePoint is a plus
  • Strong attention to detail and accuracy
  • Excellent organizational and time management skills
  • Ability to follow established procedures and maintain document control processes
  • Ability to manage multiple priorities while maintaining quality and accuracy
Physical Requirements
  • Regularly use a computer and read detailed reports, documents, and spreadsheets
  • Ability to maintain visual focus and accurately review documentation
  • Ability to communicate effectively in person and by phone
  • Must be able to hear and understand verbal instructions and workplace communications
Work Environment
  • Position operates in both office and manufacturing plant environments
  • May be assigned to specific shifts or working hours based on business needs
  • Exposure to varying conditions including temperature fluctuations, manufacturing equipment, and intermittent loud noise
  • Requires close attention to detail and the ability to perform repetitive tasks accurately
  • Ability to work effectively as part of a team in a fast-paced environment
  • Must follow established procedures and safety requirements at all times
  • Strong concentration and focus are required to ensure accuracy and quality of work
