The City of Carmel is looking for a Water Distribution Administrative Assistant to join our team part‑time. This role keeps our water distribution services running smoothly behind the scenes - supporting customers, contractors, and staff while helping maintain accurate records. If you enjoy a mix of customer interaction, data entry, problem‑solving, and keeping things running like a well‑oiled machine, this is your job!
What You'll Do
- Support Customer Service - Respond to inquiries about water distribution, billing, permits, and maintenance issues with clarity and care.
- Process Permits - Receive, review, and process permits while keeping contractors informed and compliant.
- Maintain Records - Keep documentation organized, accurate, and accessible: work orders, complaints, permits, invoicing, usage data, and more.
- Data Entry in Cityworks - Enter and maintain data related to water usage, permits, and customer inquiries.
- Monitor Contractor Compliance - Track insurance, permits, and adherence to local and state regulations.
- Manage Hydrant Meter Inventory - Keep inventory updated and communicate changes to supervisors.
- Handle Payments - Process payments for meter rentals, water usage, irrigation permits, and inspections.
- General Office Support - Mail processing, copying, organizing the conference room, greeting visitors, and routing calls.
- Track Customer Complaints - Log and monitor service requests and help ensure timely resolution.
What You'll Need
- High school diploma or GED, plus vocational training in business or computer operations.
- 1+ year of experience in office work, customer service, or computer-based tasks.
- Strong communication skills and the ability to interact with the public and coworkers clearly and professionally.
- Comfort with data entry, spreadsheets, word processing, and office equipment.
- Ability to follow procedures, stay organized, and maintain accurate records.
- Light physical ability (lifting 5-10 lbs) and comfort working at a computer for extended periods.
- Knowledge of municipal operations or city geography is a bonus.
