Administrative Assistant - Part-Time

Pay Range: $15.91 to $17.90 hourly

Schedule: Part-Time, 28 hours per week

Reports To: Chief Executive Officer (CEO)

Position Summary:

The Administrative Assistant provides high-level administrative and operational support to the Chief Executive Officer. This role is ideal for someone who is organized, professional, detail-oriented, and comfortable managing multiple priorities.

The Administrative Assistant works closely with the CEO, Executive Team, Board members, committees, vendors, and community partners. Because this position supports executive operations and organizational governance, confidentiality and discretion are essential.

What You'll Do

  • Manage the CEO's calendar, meetings, appointments, and events
  • Coordinate meeting locations, virtual links, agendas, materials, and logistics
  • Resolve scheduling conflicts and help prioritize appointments
  • Confirm attendance and communicate meeting details
  • Attend Executive Team, Board, committee, and other assigned meetings
  • Record, prepare, and distribute accurate meeting minutes
  • Maintain official meeting minutes, governance documents, and organizational records
  • Prepare meeting packets, agendas, reports, and supporting materials
  • Assist with planning and carrying out annual fundraising events
  • Coordinate event vendors, invitations, sponsorships, registrations, timelines, and logistics
  • Track event deadlines, tasks, and follow-up items
  • Assist with special projects, research, data collection, and administrative initiatives
  • Order and maintain office and meeting supplies for executive operations
  • Complete occasional local errands and special projects assigned by the CEO

What We're Looking For:

  • High school diploma or equivalent required
  • Associate degree preferred
  • At least 2 years of administrative support experience
  • Experience supporting senior leaders or an executive office preferred
  • Experience working with nonprofit executives, boards, or leadership teams preferred
  • Experience coordinating events, fundraising activities, or community engagement preferred
  • Experience supporting Board or governance processes preferred

Knowledge and Skills:

  • Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams
  • Strong written and verbal communication skills
  • Strong organization and time management
  • Ability to manage several priorities and deadlines
  • High level of professionalism and confidentiality
  • Accurate note-taking, recordkeeping, and meeting-minute preparation
  • Strong attention to detail
  • Problem-solving and initiative
  • Ability to work independently and collaborate with different stakeholders
  • Knowledge of nonprofit governance and Board meeting processes is a plus

Schedule:

This position is scheduled for approximately 28 hours per week. Occasional flexibility may be needed to support Board meetings, fundraising events, special activities, or other responsibilities outside normal business hours. Occasional local travel or errands may also be required.
