About this Role

The Administrative Assistant at Quanta Infrastructure Solutions Group, LLC (QISG) provides direct administrative support to the leadership team at QISG.

What You'll Do

Answers and transfers incoming phone calls, screening when necessary
Welcomes and directs visitors and clients
Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed
Responds to and resolves administrative inquiries and questions
Coordinates and schedules travel, meetings, and appointments for managers or supervisors
Assists with the coordination and planning of company events and meetings
Prepares agendas and schedules for meetings
Records and distributes minutes or other records for meetings
Maintains office supplies inventory; anticipates supplies needs; places and expedites supply orders and verifies receipts
Maintains conference rooms, kitchen, and other meeting rooms
Assists leadership team with processing purchasing card and expense reports
Coordinates visitor and/or new hire seating
Retrieves and distributes office mail; sends outgoing mail and prepares fed-ex packages
Adheres to internal standards, policies, and procedures
Performs special projects and completes other duties as assigned or requested

What You'll Bring

High School diploma, or equivalent
3+ years' experience in an administrative support role
Ability to influence and communicate effectively with other team members
Strong problem evaluation/solving skills
Strong team building skills
Strong organizational and time management skills
Strong communication skills (verbal and written)
Strong computer skills (Microsoft Office)
