Administrative Assistant - OSHA DAP
ProSidian Seeks a Administrative Assistant - OSHA DAP in Washington, DC to support an engagement for a branch of the federal government responsible for occupational safety, wage and hour standards, unemployment insurance benefits, reemployment services, and some economic statistics across the United States.
The ProSidian Engagement Team Members work to provide administrative support services to the Occupational Safety and Health Administration (OSHA) Directorates. OSHA's Directorate of Administrative Programs (DAP) provides administrative support services to the various Program Offices within OSHA as part of its mission. OSHA DAP requires administrative support services to include administrative, secretarial and clerical skills to include, but not limited to, organizational skills, customer service, calendar management, travel arrangements, reporting, project planning, supply management, computer operations of various applications, debt collection and publication order processing.
Administrative Assistant - OSHA DAP Candidates shall work to support requirements for Program Support and The Administrative Assistants will provide full range of Administrative Support Services to OSHA's Office of the Assistant Secretary and National Office Directorates.
Responsibilities include, but are not limited to, the following:
- Maintain Directorate Management and/or Agency Staff appointments by scheduling meetings, conferences and teleconferences, to include office events/leave calendar.
- Process and set up accounts payable invoices in Department of Labor's (DOL) New Core Financial Management System (NCFMS) according to Federal guidelines for invoice payments.
- Review and update OSHA Directives using Microsoft Word and Excel. Update Records Management information in the Archives and Records Centers Information System (ARCIS). Create, route and maintain training registrations and completion of course records in Department of Labor's electronic training system, Learning Link.
- Receive, review, assign and expedite the preparation and processing of controlled Agency correspondence in DOL's Correspondence Tracking System (CTS); ensuring the readability and quality of correspondence.
- Manage incoming/outgoing telephone calls, provide general information to callers, and take messages or direct calls to appropriate staff. Welcome customers and answer general office inquiries using Cisco CP-8811 multi-line telephone.
- Create, maintain and enter information into various databases within OSHA Program Offices. Set up and manage paper or electronic filing system, record information, edit documents, maintain office documents, correspondence and other work-related material.
- Attend meetings and provide verbal and written summary of meetings Prepare conference and/or event materials.
- Operate office equipment such as scanners, copiers, and fax machines. Arrange for repairs when equipment malfunctions. Complete general preventive maintenance requirements according to manufacturer's instructions. Order and maintain office supplies according to specific Federal guidelines and procedures.
- Format, proof, edit, retrieve, review and copy document information. Transmit text, data and graphics as necessary.
- Make travel arrangements, reservations and prepare vouchers using the electronic E2 Travel system, ensuring adherence to federal travel regulations.
Qualifications
The Administrative Assistant - OSHA DAP shall have consecutive employment in a position with comparable responsibilities within the past five (5) years, Must be able to use a computer to communicate via email; and proficient in Microsoft Office Products (Word/Excel/Power point) and related tools and technology required for the position. Work products shall be thorough, accurate, appropriately documented, and comply with established criteria. The candidate shall ensure that duties are performed in a competent and professional manner that meets milestones/delivery schedules as outlined.
Administrative Assistants must be proficient in Microsoft Office Suite 2016 to include MS Word, Excel, Power Point, Access and Outlook using Windows Version 10.
The Administrative Assistants must have at least five years' experience performing similar services in a similar environment or Bachelor's degree plus two years' experience performing similar services in a similar environment.
TRAVEL: Travel as coordinated with the technical point of contact and approved in writing by the Contracting Officer in advance, is allowed, in accordance with Federal Travel Regulations.
LOCATION: Work shall be conducted at the Washington, DC
