Position Overview
We are seeking an experienced, highly professional, and exceptionally organized Administrative Assistant to provide executive-level administrative and operational support within Legal Department. This role serves as a critical partner to Corporate Counsel, ensuring the efficient management of daily operations, priorities, communications, and departmental processes.
This position is focused on high-level administrative support and coordination rather than substantive legal work. The ideal candidate is proactive, resourceful, detail-oriented, and capable of managing multiple priorities while exercising sound judgment and maintaining the highest level of confidentiality. Success in this role requires strong organizational skills, professionalism, discretion, and the ability to anticipate needs in a fast-paced corporate environment.
Key Responsibilities
Provide comprehensive administrative and operational support to Corporate Counsel and the Legal Department.
Manage complex calendars, coordinate meetings, schedule appointments, and arrange conference calls and virtual meetings.
Serve as a primary administrative liaison between the Legal Department and internal business partners, executives, employees, and external contacts.
Coordinate departmental activities, meetings, projects, and communications to ensure seamless operations.
Organize, maintain, and manage confidential files, records, correspondence, and legal department documentation.
Prepare, edit, proofread, format, and distribute professional correspondence, reports, presentations, spreadsheets, and other business materials.
Monitor deadlines, track action items, and follow up on outstanding requests to support timely completion of department priorities.
Assist with administrative processes, including expense reporting, invoice processing, purchase orders, and vendor coordination.
Coordinate domestic and international travel arrangements and prepare related itineraries and documentation.
Support document management, electronic filing, records retention, and information organization initiatives.
Gather, compile, and organize information and materials requested by Corporate Counsel and department leadership.
Handle highly confidential legal, business, employee, and corporate information with discretion and professionalism.
Identify opportunities to improve administrative processes, efficiency, and workflow within the department.
Support special projects, departmental initiatives, and additional responsibilities as assigned.
Qualifications
5-7 years of progressively responsible experience in an Administrative Assistant, Executive Assistant working in Legal Department.
Experience supporting attorneys, legal departments, executives, or professional services environments strongly preferred.
Exceptional organizational, planning, and time-management skills with the ability to prioritize competing demands.
Strong written, verbal, and interpersonal communication skills.
Demonstrated attention to detail, accuracy, and follow-through.
Ability to manage multiple projects simultaneously while meeting deadlines in a fast-paced environment.
Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
Proven ability to handle confidential and sensitive information with sound judgment and discretion.
Professional presence and the ability to build effective working relationships across all levels of the organization.
Self-motivated with the ability to work independently, anticipate needs, solve problems, and take initiative.
