  • Ability to prioritize own workload as various deadlines change during the semester
  • Ability to use the following University systems: Internet Native Banner (INB); SAP; SSB; Logi
  • Demonstrated skills in effective communication, both orally and in writing, with various university offices, as well as with faculty, staff, and students

Preferred Qualifications

  • Ability to develop semester schedules for 100+ faculty and assign classroom and office space
  • Ability to act as office manager
  • Ability to assist program faculty, directors, and coordinators in completing tasks
  • Ability to propose and develop needed projects to streamline departmental processes

Job Description

The Administrative Assistant III provides administrative and clerical support to program chairs, department chairs, deans, or directors.

Job Duties

  • Develop course schedules for faculty
  • Oversee registration activities such as adds/drop and departmental approvals, students enrolled in wrong classes, necessary overrides, administrative course changes
  • Monitor course enrollments and make decisions, as needed
  • Oversee hiring procedures for all salaried hires; maintain candidate files; prepare new hire packets
  • Oversee certain departmental budgets
  • Submit PCRs for all salaried departmental hires
  • Prepare documents (minutes, reports based on oral or written instructions, department statistics reports, etc.)
  • Assist departmental advisor with course substitutions and other curricular matters
  • Act as liaison between chair and students/faculty; answer questions, take messages, make appointments
  • Act as liaison and provide leadership with other administrative assistants and technical staff in the department
  • Act as liaison with program faculty, directors, and coordinators
  • Serve as time administrator as needed for staff, faculty, and graduate assistants
  • Coordinate/plan annual departmental events
  • Develop and maintain a filing and tracking system for general correspondence, employment inquiries, faculty personnel files
