  • Three years of progressively responsible administrative, clerical, office management, customer service, or business support experience.
  • Experience using Microsoft Office applications, including Outlook, Word, and Excel.
  • Experience coordinating multiple priorities, deadlines, and schedules in a professional office environment.
  • Experience preparing, maintaining, or organizing records, reports, correspondence, or other business documents.

Preferred Qualifications

  • Bachelor's degree from an accredited college or university.
  • Experience working in higher education, preferably in student affairs, student success, technology services, or administrative operations.
  • Experience providing administrative support to multiple departments, programs, or supervisors simultaneously in a fast-paced environment.
  • Experience with budget administration, purchasing, expense reconciliation, travel processing, and financial recordkeeping, including the use of enterprise systems such as SAP and Concur.
  • Experience coordinating reports, projects, assessments, audits, or operational initiatives, including data collection and reporting activities.
  • Advanced proficiency in Microsoft Office applications, particularly Excel, and experience using business systems such as Qualtrics, Adobe Sign, Microsoft Teams, Zoom, Banner, or similar enterprise platforms.

Job Description

The Administrative Assistant III provides advanced administrative, operational, and customer service support for the Support Services and Student Success Technology Services departments within the Division of Student Success. This position serves as a key resource in coordinating daily office operations, managing schedules and meetings, preparing reports and correspondence, maintaining records, and supporting departmental projects and initiatives. This position will assist with budget administration, purchasing, expense reconciliation, travel coordination, personnel-related processes, records management, data collection and reporting, technology inventory tracking, and other operational activities that support departmental and divisional goals.

Job Duties

Administrative Support

  • Provide advanced administrative and operational support to Support Services and Student Success Technology Services leadership, staff, and departmental initiatives.
  • Coordinate calendars, meetings, conference rooms, events, and operational deadlines.
  • Prepare agendas, correspondence, reports, presentations, meeting minutes, and other supporting documentation.
  • Monitor and support daily office operations to ensure efficient and effective service delivery.
  • Research, gather, and compile information for reports, projects, and departmental decision-making.
  • Coordinate and support departmental committees, training, meetings, special events, and divisional initiatives.
  • Coordinate communications and collaborate with campus partners to support departmental programs, services, and initiatives.
  • Direct inquiries and visitors to appropriate resources and offices as needed.

Departmental Purchasing and Administration Coordination

  • Assist with purchasing, invoice processing, travel arrangements, expense reconciliation, budget monitoring, and other financial transactions in accordance with university policies and procedures.
  • Coordinate, monitor, and process invoices and payments associated with departmental programs, including summer camps, conferences, and special events.
  • Maintain records and documentation related to purchasing, budgets, personnel and operational activities.
  • Support hiring, onboarding, and employment-related activities for staff and student employees.
  • Coordinate departmental access requests, key requests, building access, maintenance work orders, and other operational support processes.
  • Train, supervise, and provide guidance to student employees as assigned.

Technology and Inventory Support

  • Assist Student Success Technology Services with technology inventory management, equipment tracking, asset records maintenance, data collection, and reporting activities.
  • Utilize university software and enterprise systems, including Microsoft Office Suite, Microsoft Teams, Zoom, Qualtrics, Adobe Sign, and other technology platforms to support departmental operations
  • Maintain office supply inventories and coordinate the ordering and distribution of materials and equipment.

Other Duties

  • Perform other duties as assigned to support departmental, divisional, and university goals.
