EverStaff is seeking an organized and experienced Administrative Coordinator to support a busy recruiting and human resources team. The ideal candidate will possess strong communication skills, exceptional organizational abilities, and a commitment to delivering a positive experience for candidates and internal stakeholders.

Schedule: Monday - Friday, 1st shift
 
Key Responsibilities:
  • Provide administrative and coordination support to Talent Acquisition team members, including recruiters and leadership, with requisition creation and recruiting activities
  • Coordinate background screenings, drug testing, and pre-employment assessments, ensuring compliance and accurate documentation
  • Schedule interviews and coordinate candidate travel arrangements
  • Maintain recruiting content and documentation on internal SharePoint sites
  • Manage internal and external recruiting mailboxes and respond to inquiries in a timely and professional manner
  • Partner with recruiters to prepare, review, and distribute employment offer letters
  • Process invoices, coordinate travel, and provide administrative support to Recruiting leadership
  • Serve as a primary point of contact for candidates and hiring managers throughout the pre-employment process
  • Maintain accurate candidate and pre-employment tracking records within recruiting systems
  • Assist hiring managers with pre-boarding activities, including onboarding documentation and equipment coordination
  • Coordinate phone, virtual, and in-person interviews across multiple time zones as needed
  • Handle confidential information with discretion and professionalism
  • Identify opportunities to improve recruiting processes and administrative efficiencies
 
Qualifications:
  • High school diploma or GED required
  • Minimum of 7 years of administrative, coordinator, or related professional experience
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Word, Excel, and PowerPoint
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines
  • Strong customer service, interpersonal, and teamwork skills
  • Experience working with confidential information in a fast-paced environment
 
Preferred Qualifications:
  • Experience with SharePoint content management
  • Knowledge of recruiting processes and Applicant Tracking Systems
  • Experience with Oracle Recruiting Cloud or Oracle HCM preferred
