JOB DESCRIPTION

Position: Bilingual Administrative Assistant
Status: Full-Time
Hours: Contract Position, 5 days per week, from 8:30-5:30 with hybrid office/telework

*Must speak fluent Spanish and English*

It is an extremely welcoming and positive work environment which allows some days of telework from home and some days of working in the office on-site in DC. Very metro accessible.

  • Manage and coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries.
  • Maintain and manage the Executive Manager's calendar, scheduling meetings, appointments, and business commitments.
  • Coordinate internal and external meetings, including preparing agendas, meeting materials, and follow-up documentation.
  • Serve as a primary point of contact for Spanish- and English-speaking clients, vendors, and stakeholders.
  • Draft, translate, and proofread correspondence, reports, presentations, and other business documents in both Spanish and English.
  • Handle confidential information with professionalism and discretion.
  • Assist with office administration, filing, records management, and document organization.
  • Coordinate logistics for company events, conferences, and special projects.
  • Answer and direct phone calls, emails, and inquiries in both languages.
  • Support leadership with administrative projects and other duties as assigned.

Qualifications

  • Fluent in both Spanish and English (written and verbal).
  • Minimum of 4 years of experience managing travel arrangements, executive calendars, and meeting coordination.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent organizational, multitasking, and time-management skills.
  • Strong interpersonal and communication skills.
  • Ability to work independently and prioritize competing demands.
  • Professional demeanor and ability to maintain confidentiality.
  • Experience supporting executive leadership preferred.

Preferred Qualifications

  • Experience working in an international, nonprofit, government, or corporate environment.
  • Strong attention to detail and problem-solving abilities.
  • Experience coordinating meetings across multiple time zones.
