POSITION TITLE Administrative Assistant II

POSITION SUMMARY A welcoming and knowledgeable person to accept calls, messages, and coordination of meetings for the Chief Academic Officer. Liaise with parents, principals, department heads, and directors, school secretaries, and administrators.
IMMEDIATE SUPERVISOR Chief Academic Officer
DUTIES Support Communications Department with planning and implementation of the events for the Teacher of the Year, TOY, School Board of Trustees, letters, organization of the TOY event in April, including preparation of speeches for all administrators, and overseeing reception at the venue. Scheduling and facilitating the portfolio workshops for the school TOY nominees and portfolio evaluation.
Coordinate meeting with parents, taking detailed information regarding their concerns, and facilitating follow-up correspondence.
Periodic assistance with Power School information regarding the student-family log entries, grades, behavior.
Support the meeting calendars for the Chief Academic Officer, Instructional Leader, Directors, facilitators, and the Curriculum Office.
Responsible for payroll for the department, certified staff, and non-certified staff, as well as Kaleidoscope supervisor, Costume Shop staff, Alumni Association staff, and Education Foundation director.
Support the August new teacher orientation workshop planning with Human Resources.
Process of all teacher stipends for all professional development workshops throughout the year.
Approve requisitions for the department purchase orders. Preparing summary reports of the curriculum budget to Chief Academic Officer and Instructional Leader Directors.
Collaborate with Chief Academic and Instructional Leader Directors to design presentations and reports as needed.
Maintain Professional Development Calendar for the corporation.
QUALIFICATIONS
High School diploma. Associates degree or equivalent from two-year College or technical school preferred or six months to one year related experience and/or training or equivalent combination of education and experience.
Proficient in MS Office, Google Docs, or related databases and software preferred.
Outstanding communication and public speaking skills.
Excellent organizational and leadership skills.
Aptitude in problem-solving.
PHYSICAL DEMANDS
The administrative assistant will be expected to complete office assignments in a timely manner. Light lifting may be required.
