Care Management Administrative Assistant

Location: AdventHealth Shawnee Mission

Schedule: Monday-Friday, 8:00 AM-4:30 PM

As a Care Management Administrative Assistant, you will play an important role in supporting the daily operations of the Care Management team through exceptional administrative coordination, organization, and customer service.

The Care Management Administrative Assistant provides advanced clerical and administrative support to the department while maintaining organized systems, coordinating communication, and helping ensure smooth daily operations. This role handles complex secretarial responsibilities, supports department leaders, and contributes to an efficient, professional, and patient-focused care management environment.

Key Responsibilities

  • Provide administrative and clerical support to Care Management leadership and team members.

  • Manage correspondence, appointments, calendars, meetings, agendas, minutes, and general departmental communication.

  • Maintain accurate and organized filing systems, record-keeping systems, and workflow processes.

  • Prepare, print, distribute, and track annual performance evaluations and other departmental forms.

  • Assist with payroll maintenance and follow-up on forms to ensure timely return.

  • Support department mail processing, supply ordering, and general office organization.

  • Coordinate meeting room setup, catering, data tabulation, and preparation of presentations and related documents.

  • Create clear, accurate, and professionally formatted documents, reports, and correspondence.

  • Use sound judgment and initiative to handle routine administrative matters in the absence of leadership when appropriate.

  • Support departmental workflow by anticipating needs, researching questions, and conserving leadership time.

  • Assist in improving and streamlining department processes to promote efficiency and quality.

  • Maintain confidentiality of leader files, personnel records, quality and risk management records, and medical records.

  • Communicate courteously and effectively with leaders, staff, patients, families, and internal customers.

  • Adjust priorities and manage workload effectively to meet deadlines for routine and special projects.

  • Perform other duties as assigned.

Education

  • High School Diploma or GED - Required

  • Associate Degree - Preferred

  • Technical or Vocational School training - Preferred

Experience

  • One year of position-related experience - Required

  • Two or more years of position-related experience - Preferred

Licensure & Certifications

  • Certified Professional Secretary (CPS - Preferred
