Job Summary
We are seeking a detail-oriented and organised Administrative Assistant to support daily settlement processing, banking activities, reconciliation, reporting, and front desk responsibilities. The ideal candidate will have strong numerical, bookkeeping, banking, and administrative skills, along with advanced proficiency in Microsoft Excel and the ability to learn and work with systems such as SAP.
Responsibilities
- Support daily settlement processing and related administrative activities.
- Prepare daily bank deposits and required documentation to ensure accurate crediting of funds.
- Maintain tracking spreadsheets for deposits, outstanding balances, collections, and required documentation.
- Perform bank reconciliations and investigate discrepancies or variances.
- Identify and process bank adjustments, including non-sufficient funds (NSF).
- Work closely with functional teams and internal/external stakeholders to resolve discrepancies and payment issues.
- Maintain cashier workbooks and supporting documentation for HQ Accounting.
- Maintain an adequate supply of forms, deposit books, deposit slips, and other required materials.
- Generate detailed and summary reports using existing IT tools, including SAP.
- Interact daily with internal functional teams and external contacts.
- Maintain a high level of integrity, professionalism, accuracy, and confidentiality.
- Work effectively and calmly in a fast-paced environment with competing priorities.
- Provide backup support to other team members as needed.
- Assist with special projects and additional administrative assignments.
- Perform front desk and general administrative responsibilities.
- Follow up on outstanding balances, documents, and other required items.
- Prioritize workload, meet deadlines, and maintain a strong sense of urgency.
Qualifications / Requirements
- Associate Degree preferred.
- 3+ years of administrative support experience.
- Experience in bookkeeping, banking, accounting, settlement processing, or cash handling is preferred.
- Strong mathematical and numerical skills.
- Strong Microsoft Office skills, particularly Microsoft Excel.
- Experience with SAP or similar enterprise applications preferred.
- High level of computer proficiency with the ability to learn multiple IT applications quickly.
- Excellent written and verbal communication skills.
- Strong organizational, time-management, and follow-up skills.
- Ability to prioritize and manage multiple tasks in a fast-paced environment.
