    Job Summary

    We are seeking an experienced Administrative Assistant III to provide high-level administrative and office support to directors, managers, and staff in a fast-paced professional environment.

    The ideal candidate will have strong experience with calendar management, meeting coordination, travel arrangements, email communication, action-item tracking, document preparation, event support, and office administration.

    Key Responsibilities

    • Provide administrative support to directors, managers, and staff.
    • Manage calendars, appointments, meetings, and scheduling.
    • Coordinate business travel arrangements and related logistics.
    • Send, receive, and respond to professional emails and communications.
    • Field and route telephone calls.
    • Compile meeting notes and track action items.
    • Send reminders and follow up on outstanding tasks.
    • Plan meetings, including room coordination, logistics, and catering.
    • Arrange deliveries and coordinate office-related requests.
    • Support key employee events, including birthdays, illnesses, bereavements, and other special occasions.
    • Manage office supplies and maintain appropriate inventory levels.
    • Organize, maintain, and file administrative documentation.
    • Prepare, review, analyze, format, and proofread documents, emails, presentations, and reports.
    • Maintain spreadsheets, databases, presentations, and other business records.
    • Prioritize daily workload and manage multiple competing deadlines.
    • Provide proactive solutions to administrative and operational issues.
    • Handle confidential and sensitive information professionally.

    Required Qualifications

    • 5–10 years of administrative, executive support, or office management experience.
    • Strong calendar and meeting management experience.
    • Experience coordinating travel and business logistics.
    • Strong proficiency with Microsoft Office applications, including:
      • Outlook
      • Word
      • Excel
      • PowerPoint
    • Experience working with spreadsheets, databases, and presentation software.
    • Strong proofreading, document review, and written communication skills.
    • Excellent organizational and time-management abilities.
    • Strong attention to detail.
    • Ability to learn new tasks and systems quickly.
    • Ability to manage multiple priorities in a rapidly changing environment.
    • Strong problem-solving and decision-making skills.
    • Professional-level verbal and written communication skills.

    Preferred Skills

    • Experience supporting directors, senior managers, or executive-level professionals.
    • Experience tracking action items and coordinating follow-up activities.
