Accounting & Office Manager

Our client, a well-established and growing law firm in Charlotte, is seeking an experienced Accounting & Office Manager to oversee the firm's day-to-day accounting functions and office operations. This role is ideal for a hands-on professional who enjoys balancing financial responsibilities with administrative leadership in a fast-paced professional services environment.

Responsibilities:

Accounting & Finance (70%)

  • Manage the firm's daily accounting operations, including accounts payable, accounts receivable, and general ledger activities

  • Perform monthly bank and trust account reconciliations

  • Prepare and review billing, client invoices, and collections reporting

  • Monitor client retainers and trust account transactions in compliance with legal accounting requirements

  • Assist with month-end and year-end close processes

  • Maintain financial records and support budgeting and cash flow management

  • Prepare financial reports for firm partners and leadership

  • Coordinate with external CPA firms regarding tax filings, audits, and year-end reporting

  • Process payroll and maintain payroll-related records

  • Ensure compliance with accounting policies, internal controls, and regulatory requirements

Office Management & Administration (30%)

  • Oversee day-to-day office operations and serve as the primary administrative resource for the firm

  • Manage relationships with vendors, suppliers, and service providers

  • Coordinate office facilities, equipment, and space management

  • Support onboarding and administrative aspects of employee lifecycle activities

  • Assist with benefits administration and HR-related documentation

  • Maintain office policies and procedures to ensure operational efficiency

  • Manage office supplies, inventory, and firm-wide administrative needs

  • Coordinate meetings, events, and other firm activities as needed

Qualifications

  • Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred

  • 5+ years of accounting experience, preferably within a law firm, professional services firm, or similar environment

  • Prior experience managing office operations or administrative functions

  • Strong understanding of general accounting principles, accounts payable, accounts receivable, payroll, and financial reporting

  • Experience with legal billing systems, trust accounting, and law firm operations is highly preferred

  • Proficiency in Microsoft Excel and accounting software

  • Excellent organizational, communication, and problem-solving skills

  • Ability to manage multiple priorities while maintaining a high level of accuracy and confidentiality

This individual will be comfortable wearing multiple hats, partnering with attorneys and staff, and helping ensure both the financial health and operational effectiveness of the firm.

Location: Charlotte, NC

Schedule: Fully onsite, Monday through Friday

Employment Type: Direct Hire

Compensation: $80,000 - $95,000 depending on experience, full benefit package and discretionary bonus

Pay Details: $80,000.00 to $95,000.00 per year
