    Dental Office Manager

    Position Summary

    Seeking an experienced, organized leader to oversee daily operations, manage the administrative team, improve efficiency, and support financial and patient-care goals. Must be proactive, skilled in dental operations, insurance, scheduling, and team development, and work closely with the owner and providers.

    Key Responsibilities

    • Practice Operations: Oversee daily front-office workflows, scheduling, billing, patient flow, staffing, vendor relations, and policy adherence.
    • Team Leadership: Recruit, train, coach, and evaluate front-office staff; set performance expectations; foster a positive, accountable culture.
    • Patient Experience: Ensure high-quality service, manage communications and complaints, improve satisfaction, retention, and online reputation.
    • Scheduling & Treatment Coordination: Optimize provider/hygiene schedules, manage cancellations/no-shows, track unscheduled treatment, and support case acceptance.
    • Financial Management: Monitor production, collections, AR, and revenue goals; oversee payment plans, adjustments, and internal controls.
    • Insurance & Billing: Supervise verification, claims, denials, and patient benefit explanations; ensure accurate posting and timely follow-up.
    • Compliance: Maintain HIPAA, OSHA, and regulatory standards; manage training, safety, and incident documentation.
    • Business Development: Drive patient retention, referrals, and revenue; support marketing, new patient growth, and operational improvements.
    Qualifications
    • Minimum 3 years of dental office management or leadership experience preferred.
    • Strong knowledge of dental terminology, insurance billing, collections, and AR.Proficiency with Eaglesoft, Dentrix, or Open Dental.
    • Experience with financial reports, KPIs, HIPAA/OSHA compliance.
    • Excellent leadership, communication, organizational, and conflict-resolution skills.
    • Skilled in Microsoft Office and scheduling systems.
    • Experience in private, cosmetic, or specialty practices, preferred.
    • Background in treatment coordination, multi-provider management, marketing, recruiting, and employee development, preferred.
    Work Week - Monday - Thursday 32hours
    Performance based bonus
