Description

Job Title: Account Coordinator
Location: Remote
Duration: 4 Months Contract, with possible extension or convert to FTE.


Summary:
The Account Coordinator provides administrative and operational support to the Small Business commercial lines service team. This is a high-volume, transaction-driven role: the small business book carries a large number of accounts with frequent, time-sensitive servicing needs. The primary objective is to ensure timely processing of policy transactions, maintain accurate client records, and support Account Managers in delivering exceptional service throughout the policy lifecycle while meeting established service level agreements.

Scope of Services:

The Account Coordinator will perform the following duties, as assigned:

Policy Administration

  • Process policy changes, endorsements, cancellations, reinstatements, and renewals.
  • Prepare certificates of insurance, evidence of insurance, and auto ID cards.
  • Order loss runs and other underwriting documentation.
  • Assist with policy checking and issuance.
  • Review carrier documents for accuracy before delivery to clients.
  • Upload and organize policy documents within the agency management system.

Renewal Support

  • Prepare renewal files for Account Managers.
  • Assist with gathering updated exposure information from clients.
  • Follow up on outstanding renewal applications and supplemental underwriting information.
  • Track renewal timelines and ensure tasks are completed according to service standards.

New Business Support

  • Assist in preparing submission packages for carriers.
  • Request and organize underwriting information.
  • Obtain required applications, signed forms, and supporting documentation from clients.
  • Track outstanding requirements until submissions are complete.
  • Assist with binding documentation and policy issuance.

Client Service Support

  • Respond to routine client requests under the direction of an Account Manager.
  • Process requests for certificates, evidence of property insurance, and policy documents.
  • Coordinate communications with insurance carriers and vendors.
  • Maintain accurate client contact information and policy records.

Agency Management System Maintenance

  • Maintain electronic client files.
  • Enter and update policy information accurately.
  • Document all client and carrier communications.
  • Ensure compliance with agency documentation standards.

Operational Support

  • Monitor assigned task queues and complete work within established service level agreements.
  • Manage a high daily volume of small business service requests across many accounts without loss of accuracy.
  • Escalate complex coverage or underwriting questions to the assigned Account Manager.
  • Assist with special projects, audits, data cleanup, and reporting as needed.
  • Support the team during peak renewal periods.

Deliverables:

  • Complete assigned service requests accurately and within established turnaround times.
  • Maintain organized and complete electronic client files.
  • Support renewal and new business workflows by ensuring documentation is complete and submitted on time.
  • Communicate professionally with clients, carriers, and internal team members.
  • Meet quality standards for documentation and processing accuracy.

Performance Expectations:

Success in this role will be measured by:

  • Timeliness of task completion and adherence to service level agreements.
  • Accuracy of policy processing and documentation.
  • Throughput volume of service requests cleared without rework.
  • Responsiveness to internal service requests.
  • Ability to manage multiple priorities simultaneously.
  • Professional communication with internal and external stakeholders.
  • Compliance with agency procedures and carrier requirements.

Required Qualifications:

  • Active California Property & Casualty broker-agent license
  • Strong organizational and time management skills.
  • High attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work independently while managing multiple deadlines.
  • Proficiency with Microsoft Office applications.
  • Ability to learn internal workflows and technology quickly.

Preferred Qualifications:

  • Prior experience in commercial insurance, particularly in a small business or high-volume servicing environment.
  • Experience with an agency management system (AMS360, Applied Epic, or similar).
  • Familiarity with certificate and endorsement processing at scale.

Reporting:

The Account Coordinator will report directly to the assigned Team Lead and will collaborate closely with the Small Business commercial lines service team to support daily servicing activities.
