Position Summary
Whitworth invites applicants to join the University as the Academic Scheduling Specialist. In this role, you will manage the universitys classroom usage, schedule of courses, and ensure they align with Academic Affairs goals. Facilitate all course scheduling processes and systems, maintain accurate course information, support all student registration processes, and assist with curriculum management and course building. Serves as part of the Office of the University Registrar operations team, which is responsible for course and section record management, including data integrity, reporting, and upholding standard operating procedures. This position will collaborate with academic departments and leaders across campus to create and manage the course schedule.
Core Responsibilities
Academic Scheduling | 40%
- Manages classroom usage and Schedule of Courses and instructional facilities used for the academic terms of the university.
- Manages course offerings from time of course approval to placement on the Schedule of Courses, ensuring the integrity of the database.
- Ensures collection of departmental course schedules and evaluates course times and sizes based on classroom availability.
- Prepares and maintains a Schedule of Courses for registration.
- Provides classroom usage patterns and data that supports strategic decision-making on the utilization of instructional facilities.
- Collaborate on building, maintaining and publishing the university's academic calendars and weekly class schedules
- Serve as the primary point of contact for academic staff and faculty with questions about course scheduling and classroom usage
- Provide campus-wide training on course scheduling
- Work closely with the President's Office and University Events team to manage important campus event space usage and strategic classroom moves
Registration | 20%
- Assists with all Colleagues rules and processes governing registration, waitlists, grading, applications and other student process
- Builds Directed Study courses and assists with section registration
- Assists with new student registration processes, collaborating with University Registrar staff and other campus departments
- Serves as an administrator of the academic modules with Self-Service
System Administration & Academic Data | 30%
- Serves on the Application Development Advisory Board for Academic Affairs
- Serves as an administrator for the Courseleaf curriculum management system
- Maintain course proposal information for curriculum committee reviews
- Build and maintain accurate course information in Colleague.
- Assist with demographic change processes for the office ensuring university and federal compliance and data integrity
- Design and manage forms for the office, liaising with Information Systems and the broader campus community providing technical support and training
- Collaborate with all campus departments and specifically Human Resources, Institutional Advancement and Information Systems to ensure accuracy, consistency and integrity in all constituent data updates, processes and policies
- Assist with streamlining university registrar operations and data processing
- Develop and maintain quality control reports for academic scheduling
Other | 10%
- Represent the University Registrar on university committees and teams as assigned
- Assist with commencement planning and other special projects and events
- Other duties as assigned
Qualifications and Core Competencies

- Two years experience in higher education, project management, data entry or related field, or an equivalent level of education and experience.

- Strong proficiency in data entry and management, with experience using database software.

- Proficient in Microsoft Office Suite, particularly Excel, with the ability to create and manage complex spreadsheets.
- Strong interpersonal and communication skills, with the ability to train and collaborate with diverse campus departments.
- Ability to work independently and as part of a team, with a proactive approach to problem-solving.

Whitworth office hours are 8 AM to 4:30 PM Monday - Friday
