We have started a search for a new Academic Coordinator who will support the Cathy Hughes School of Communications (CHSOC) primarily with tasks associated with Enrollment Management and the Graduate School. This role will also offer the 4 academic units with administrative support to ensure University alignment with recordkeeping and data management, maintain process efficiencies across CHSOC, and provide adequate and quality customer service to all constituencies. The Academic Coordinator is a contributing team member within CHSOC, and more specifically within the Office of the Dean working closely with the Associate Dean of Academic Affairs.

SUPERVISORY AUTHORITY:

Responsible for hiring, orienting, training, and managing performance of work study students.

NATURE AND SCOPE:

Internal contacts include all departments and administrative units within CHSOC and various units at the university including, but not limited to, Office of the Registrar and Office of Undergraduate Studies. External contacts may include vendors and partners for academic programs and services.

PRINCIPAL ACCOUNTABILITIES:

  • Coordinate with chairs and directors regularly to manage the scheduling process for all academic courses and events in CHSOC.

  • Manage and process course registration overrides and resolve registration issues, in consultation with the Associate Dean for Academic Affairs.

  • Serve as primary administrative liaison between the Graduate School for the two graduate programs in the School, and with the Registrar's Office and the Office of Undergraduate Studies for the two, large undergraduate departments

  • Maintain all policies and procedures for departments in central repository for access to necessary administrators.

  • Consult with Assistant Dean of Finance and Administration all financial transactions, including purchasing and travel.

  • Organize University-sponsored travel for faculty and specific student organizations.

  • Provide calendar support for the 4 chairs, as requested.

  • Other related duties as assigned.

CORE COMPETENCIES:

  • Knowledge of academic scheduling systems; specifically, ability to utilize student information systems and other software and technologies to effectively perform job responsibilities

  • Experience coordinating several units to address important academic matters for students and faculty

  • Experience developing and managing processes and procedures

  • Awareness of strategic planning processes and monitoring

  • Strong attention to detail and commitment to excellence in the execution of tasks and duties

  • Desire to serve as a part of Dean's Office leadership team to problem-solve

  • Ability to think critically, quickly triage issues, de-escalate situations, and respond to crises

  • Strong customer service and student orientation

  • Can establish and maintain effective and harmonious work relations with students, faculty, staff, university officials, parents, and the general public

MINIMUM REQUIREMENTS:

Bachelor's degree and 2 years of relevant experience. Five or more years of service in a higher education setting with experiences serving in Enrollment Management settings or related areas may be substituted in lieu of bachelor's degree requirement.

Compliance Salary Range Disclosure

Compensation Range: $60,000 - $70,000
