Purpose:
To
support
and
process
the
hiring
and
transfers
of
employees
of
the
district
by
planning,
coordinating,
and
executing
onboarding
activities
that
ensure
new
employees
are
onboarded
into
the
district.
Qualifications:
Education/Certification:
High
school
Diploma
or
equivalent
Certified
Educational
Office
Professional
certification
(CEOP),
preferred
Bilingual,
preferred
Experience:
Minimum
of
three
(3)
years
of
experience
in
clerical
and
file
maintenance
in
a
public
school
setting
Demonstrated
experience
with
the
use
of
the
HRIS
Oracle
system,
preferred
Special
Knowledge/Skills/Abilities:
Proficient
in
keyboarding
and
maintaining
accurate
filing
systems
Skilled
in
using
computer
software,
including
Microsoft
Office
Suite
(Word,
Excel,
Outlook)
and
database/spreadsheet
development
tools
Ability
to

calculations
accurately

to

and

Major
Responsibilities
and
Duties:
Onboarding
1.
Coordinates
the
end-to-end
onboarding
process
for
new
hires,
ensuring
a
smooth
and
welcoming
experience
from
offer
acceptance
through
the
first
day.
2.
Prepares
and
distributes
onboarding
materials
and
schedules
orientation
sessions.
3.
Communicates
onboarding
instructions
and
expectations
to
new
employees
before
their
start
date.
4.
Collects
and
verifies
required
documentation
such
as
I-9s,
W-4s,
direct
deposit
forms,
and
other
pre-employment
paperwork.
5.
Ensures
that
all
onboarding
documentation
is
completed
accurately
and
submitted
in
accordance
with
legal
and
organizational
requirements.
6.
Conduct
new
employee
orientation
sessions,
including
presentations
on
district
policies,
benefits,
etc.
7.
Execute
all
actions
of
the
onboarding
process
and
employee
personnel
changes.
8.
Enter
new-hire
data
into
the
HRIS
or
employee
management
systems
and
verify
accuracy.
9.
Prepare
onboarding
schedules,
ensure
the
completion
of
necessary
documentation,
and
conduct
orientation
sessions.
10.
Maintain
consistent
onboarding
practices
and
ensure
all
new
hires
receive
timely,
accurate
information.
Records
11.
Maintain
employee
files
in
accordance
with
TEA
and
district
guidelines,
including
position,
pay
grade,
salary,
and
contracts.
12.
Maintain
and
review
all
transcripts,
service
records,
and
other
required
personnel
records
and
forms
for
each
employee
to
ensure
accuracy
and
compliance.
Other
13.
Serves
as
a
point
of
contact
for
new
hires
during
the
onboarding
process,
addressing
any
questions
or
concerns
they
may
have.
14.
Assist
with
the
storage
and
scanning
of
personnel
records
in
accordance
with
established
procedures.
15.
Monitor
access
to
human
resources
(HR)
records
and
maintain
proper
security
and
confidentiality.
16.
Assist
the
Human
Resources
Analyst
and
Director(s)
if
needed.
17.
Perform
all
other
duties
as
assigned.
