QUALIFICATIONS: High School graduate and two years of training beyond high school or three years clerical experience in an office environment. Minimum typing skill of 35 wpm. Working knowledge of PC applications (Google Drive, Microsoft Office). Working knowledge of Infinite Campus & AS400. Possess the ability to perform minimal bookkeeping including extracting and inputting purchase orders for Pre-K schools. Possess the ability to review check requests submitted from Pre-K schools. Must be able to communicate effectively. Bi-lingual Spanish desired.

REPORTS TO: Title I Pre-Kindergarten Coordinator
JOB GOAL: To provide secretarial/clerical duties as assigned.
DUTIES AND RESPONSIBILITIES:
Provides clerical assistance to the Federal Programs/Title I Pre-Kindergarten administrative
team.
Receives routine communication and visitors from the public and partnering agencies (Partnership for Children, Head Start, DCDEE, vendors, etc.) and refers calls or visitors to appropriate staff members.
Prepares correspondence, reviews and edits correspondence prepared by staff members from supervisor, checks for correct grammar, proper format, and necessary attachments.
Provides information to the public on employees which requireds knowledge of office rules and regulations.
Reviews pre-kindergarten applications and school enrollment records for compliance and data entry purposes.
Reviews, catalogues, and maintains school/classroom/personnel records pertaining to Title I Pre-K and NC Pre-K compliance and refers to proper staff for official review and action.
Reviews incoming mail and email correspondence for proper distribution purposes.
Establishes and maintains files for records and correspondence in addition to sorting and distributing incoming mail.
Assists with preparing agendas and logistics for office and departmental meetings; handles mechanics of planning meetings, and follows through on matters requiring correspondence.
Completes purchase orders for the pre-kindergarten program and inspects related bills, reports, and forms for accuracy, completeness, and compliance with established policies and departmental requirements.
Coordinates delivery of ordered materials to schools.
Catalogues materials and prepares inventory for such materials.
Maintains confidentiality of work-related matters

PHYSICAL REQUIREMENTS:
Must be able to communicate orally and in writing with parents, staff, and community leaders.
Must have finger dexterity and be able to physically perform the basic life operational functions of kneeling, sitting, walking, stooping, reaching, lifting, pushing, pulling, talking, seeing, hearing, and repetitive motion.
