The shift for the position is Monday to Friday, 8:00 a.m. to 4:30 p.m.

The Department of Criminal Justice at West Chester University has been serving the criminal justice community since 1974. As one of the first academic criminal justice programs on the East Coast, the department has been and remains on the cutting edge of discipline. Our undergraduate and graduate programs are dedicated to preparing the next generation of leaders in criminal justice and criminology. Our esteemed faculty brings a wealth of experience from various sectors of the justice system, including law enforcement, legal practice, corrections, social services, and policy development. This diverse expertise ensures that our students receive a comprehensive and practical education that is deeply informed by real-world insights.
Responsibilities include:
- Serve as first point of contact for transfer students, assigns advisors to new students, and schedules students' first advising appointment with the chairperson.
- Reassign advisees upon moving from first-year student success coordinator to faculty advisor.
- Assist chairperson in reaching out to waitlisted and active unregistered students and schedules advising appointments for students to meet with the chairperson for advising and enrollment.
- Process faculty reimbursements, reconcile, and submit to chair of department for submission and payment.
- Collaborate with the chairperson, practicum coordinator, and computer programmer to update the Practicum Application in OnBase including the practicum Exception to Policy Form, the Agency Information Form, and processing in OnBase.
- Register faculty and students for local, national, and international conferences throughout the year.
- Collect new hire paperwork and provide support to the department chair and Dean's office.
- Create and maintain office reports; keeps notes during Department meetings.
- Keep track of inventories, orders, and organize all supply ordering for the department through various vendors.
- Make reservations for all services required by department faculty including vehicles via campus Auto shop as well as class trips, special events, and other faculty/university needs that are coordinated with many different outside vendors.
- Perform other duties as assigned
Minimum Qualifications
- Six months as a Clerical Assistant 1 (commonwealth title); or
OR
- Graduation from high school
OR
- An equivalent combination of experience and training.
- Demonstrated proficiency in Microsoft Office including Outlook, Word, and Excel
Required Knowledge, Skills & Abilities:
- Knowledge of the use and functionality of Microsoft Office Suite software
- Knowledge of standard vocabulary and usage, spelling, grammar, and punctuation
- Ability to use an alphanumeric keyboard
- Ability to proofread information for conformance with prescribed standards
- Ability to sort and file information
- Ability to perform mathematical calculations
- Ability to follow oral instructions
- Ability to read and understand written materials
- Ability to communicate effectively orally
- Ability to communicate effectively in writing
- Ability to establish and maintain effective working relationships
Preferred Qualifications
- Experience in an administrative or receptionist role
- Experience in customer service
- Experience in an academic setting
- Experience in criminal justice
- Experience with higher education systems such as PeopleSoft, SAP, BI, D2L, OnBase, Adobe Professional and SharePoint
